Job Title: Operations Support Administrator
The Opportunity:
Barminco Mining Services has an exciting opportunity for a highly organized and detail-oriented Operations Support Administrator to join our team in Elko, Nevada. Reporting to the Operations Specialist, the successful candidate will be cross-functional administrative support from the local office, assisting with project mobilization activities and project administrative support. This role will also assist with administrative activities within the general operations, human resources and supply chain functions. The role coordinates day-to-day administrative activities across multiple functions to ensure workforce, operational and materials requirements are accurately tracked and efficiently supported.
Location: Elko, Nevada
Shift: 5-days on / 2-days off rotation
Key Responsibilities:
- Assist with the establishment, setup and ongoing administration of the local office, including supplies, deliveries, vendors, materials and general office requirements.
- Support operational leadership with workforce mobilization, including onboarding coordination, travel and accommodation bookings, camp assignments, transportation and site access requirements.
- Maintain employee rosters, rotations, travel arrangements and mobilization records, communicating changes to employees and relevant stakeholders as required.
- Provide administrative support for employee onboarding and maintain required workforce and employee documentation in coordination with regional HR.
- Enter and maintain accurate operational data within MINREP and other project systems.
- Review and process employee timecards, ensuring hours, shifts and cost codes are accurate and resolving discrepancies with employees and supervisors prior to payroll processing.
- Prepare workforce, timekeeping, operational and administrative reports as required by project leadership.
- Support Stores and Supply Chain by receiving and directing incoming goods and materials, coordinating deliveries with Buyers, Supply Chain and site personnel, and maintaining appropriate receiving documentation.
- Complete assigned receiving, materials tracking and other transactions within the ERP system and assist with coordinating the movement of materials between vendors, the local office and project sites.
- Identify receiving or delivery discrepancies and coordinate with Stores, Buyers or Supply Chain personnel to support timely resolution.
- Provide general administrative support to regional project leadership.
- Work collaboratively across Operations, HR, Payroll, Supply Chain, Stores and project teams, providing flexible administrative support as operational and mobilization priorities change.
- Maintain confidentiality and ensure the accuracy and integrity of information and records maintained within company systems.
Qualifications:
- High School Diploma or equivalent is required.
- Valid Drivers License is required.
- MSHA certification or ability to obtain MSHA certification is required.
- 2–4 years of experience in project administration, site administration, logistics, workforce coordination or a similar role preferred.
- Mining, construction or other project-based industry experience highly desired.
- Experience coordinating travel, accommodation, rosters, onboarding or workforce mobilization beneficial.
- Exposure to receiving, stores, purchasing, logistics or materials coordination preferred.
- Experience using ERP, payroll/timekeeping or other business systems required.
- Strong proficiency in Microsoft Excel, Outlook and Word.
- High level of accuracy and attention to detail when entering and maintaining workforce, payroll and operational information.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Ability to work effectively in a fast-paced environment where daily priorities and responsibilities may change.
- Strong verbal and written communication skills with the ability to coordinate effectively across multiple departments.
- Self-motivated, dependable and willing to provide hands-on support across a broad range of administrative and operational activities.
Work Conditions:
- Primarily office-based role with periodic work at active mining project locations.
- When working on site, exposure may include mobile and heavy equipment, uneven terrain, dust, noise, changing weather conditions and active operational areas.
- Ability to safely access and work within offices, warehouses, laydown areas, camp facilities and other operational locations as required.
- Ability to walk and stand for periods of time on uneven, rocky, muddy or gravel surfaces during site visits.
- Required to comply with all site safety requirements and wear appropriate personal protective equipment (PPE) while in operational areas.
- Ability to lift and carry office supplies, packages and materials weighing up to 30 pounds unassisted; heavier items to be handled using appropriate assistance or material-handling equipment.
- Ability to read, understand and communicate effectively in English to follow written instructions, safety signage, procedures and workplace communications.
- Ability to travel between the local office and project sites as operational requirements dictate.
- Valid Driver’s License and ability to safely operate a light vehicle.
- Ability to meet applicable site-access, induction and basic mining safety requirements.
