The Infield Freight Coordinator is responsible for planning, coordinating, and monitoring freight activities related to project materials and job site deliveries. This role serves as the primary liaison between suppliers, carriers, brokers, job sites, and internal teams to ensure materials are transported efficiently, cost-effectively, and on schedule. The coordinator maintains accurate freight records, schedules shipments, tracks delivery timelines, and ensures all logistics activities are properly documented within company systems.

Duties and Responsibilities

Freight Planning and Scheduling

Enter Purchase Order (PO) numbers into the infield scheduling spreadsheet and assign tentative shipment dates based on project requirements.
Coordinate with suppliers to arrange material pickups and verify product availability.
Obtain and document all pickup information, including pickup numbers, locations, appointment times, and special handling requirements.
Enter the load information on the freight portal.
Schedule and coordinate material pickups for STR and other project-related shipments.
Monitor shipment schedules and ensure pickups and deliveries occur according to established timelines.

Transportation Coordination

Enter load information into the company's freight management portal accurately and promptly.
Assist in the freight procurement and carrier selection process by coordinating load assignments after freight negotiations are completed.
Assign approved carriers or brokers based on negotiated freight agreements and service requirements.
Communicate shipment details, expectations, and delivery requirements to carriers and brokers.

Documentation and System Management

Download freight rate contracts and distribute copies to supervisors with details regarding carrier selection, awarded rates, and freight award justifications.
Enter freight-related PO numbers into the BC system and transmit relevant documentation to designated carriers and brokers.
Maintain complete and accurate freight records, shipment logs, and supporting documentation.
Update and maintain weekly freight spreadsheets and tracking tabs to ensure current shipment status visibility.

Shipment Tracking and Delivery Management

Track shipments from pickup through final delivery to ensure timely arrival at job sites.
Calculate estimated transit times and delivery schedules using shipment information and carrier data.
Monitor shipment progress and proactively address transportation delays or service issues.
Work closely with job site contacts and project teams to confirm delivery dates and resolve scheduling conflicts.
Obtain and review weekly shipment confirmations from job sites and update freight schedules accordingly.
Coordinate corrective actions when shipment schedules change or adjustments are required.

Communication and Customer Service

Serve as the primary point of contact for suppliers, carriers, brokers, and job site personnel regarding freight activities.
Communicate shipment status updates to supervisors and internal stakeholders.
Build and maintain positive working relationships with suppliers and transportation partners.
Respond promptly to freight-related inquiries and resolve logistical challenges.

Qualifications

Education: HS diploma/GED required
Experience: 2-3 years’ experience logistical experience

Courses/Certifications/Training

Superior written and verbal communication skills, innovative, forecasting, forward-thinking, Geographical savvy, and driver orientated
Fundamental mathematical skills, including the ability to convert tons to pounds and perform freight-related calculations.
Ability to calculate shipment transit times and estimate delivery dates.
Strong problem-solving skills for resolving transportation and scheduling issues.
