Administrative Medical Assistant (High-Volume Dermatology Practice)
Intracoastal Dermatology

We are seeking a highly detail-oriented and organized Administrative Medical Assistant to support a fast-paced dermatology practice. This role is critical in managing administrative workflows for five providers, requiring strong multitasking skills, accuracy, and the ability to thrive in a high-volume environment.

This is an ideal opportunity for someone who is proactive, dependable, and able to manage complex responsibilities while maintaining excellent patient care and communication.

Key Responsibilities

Pathology Management

  • Communicate pathology results to patients in a timely and professional manner
  • Document and mark treatments appropriately
  • Request outside records as needed
  • Coordinate referrals and send certified letters

Scheduling Coordination

  • Schedule all surgical procedures, including excisions and Mohs surgeries
  • Coordinate additional in-office treatments
  • Manage scheduling for Photodynamic Therapy (PDT)
  • Handle prior authorizations and medication coordination for PDT

Biologics Management

  • Submit and track prior authorizations for biologic medications
  • Coordinate patient onboarding with specialty pharmacies
  • Assist with enrollment forms and financial assistance programs
  • Monitor and manage an active list of biologic patients (currently 145+)

Melanoma Program Support

  • Ensure compliance with MIPS requirements
  • Manage patient recalls and follow-ups
  • Communicate necessary information to primary care providers
  • Coordinate referrals and treatment scheduling
  • Maintain melanoma registry data
  • Track and remind patients due for full skin exams (FSEs)

Prior Authorizations

  • Submit and follow up on medication prior authorizations

Fax & Document Management

  • Monitor incoming faxes throughout the day
  • Route and assign tasks for labs, cultures, and other clinical documents

MIPS Coordination

  • Manage all MIPS-related tasks, including annual submissions

Qualifications

  • Previous experience in a medical office (dermatology experience strongly preferred)
  • Exceptional attention to detail and organizational skills
  • Ability to manage high patient volume and multiple provider workflows
  • Strong communication and follow-up skills
  • Experience with prior authorizations, referrals, and insurance processes preferred
  • Ability to work independently and prioritize effectively
