The Proposal Production Manager will report to the Director of Proposal Services and is responsible for managing the end-to-end proposal production lifecycle for all AmeriHealth Caritas Request for Proposal (RFP) submissions. The Proposal Production Manager conducts pre-work prior to proposal release to prepare response templates, review market demographics, and set branding standards; coordinates with the Market Entry and Proposals teams upon release to provide compliant response templates, graphics, and formatting; executes the final formatting for all deliverables (Word, Excel), production and pre-flighting activities (Adobe Acrobat), and assembly and print for final submission (PDF); and coordinates with the Knowledge Management team post-submission to provide all final assets. This position is responsible for acting as a project manager across multiple projects for planning and organizing production schedules, assessing project and resource requirements, and working with Proposal Leadership to review final approval of proposal responses in accordance with submission deadlines and specifications.

Responsibilities:

  • Develop and manage proposal production and submission plan, including the production schedule, custom document styles, appearance, and consistency to ensure adherence to schedules, response requirements, and corporate branding.
  • Leverage expertise in Microsoft Word, Excel, and Adobe Acrobat Professional to allow collaboration and provide response templates, format a cohesive overall response, create and pre-flight submission of PDF files, and assemble a compliant final response.
  • Collaborate with Proposal Leadership to define resource needs and then staff the project accordingly.
  • Guide the Production team, developers, writers, and copy editors on response formatting, styles, and standards.
  • Review responses to ensure consistency in formatting and terminology.
  • Review responses to ensure styles, tables, and graphics are compliant with RFX and corporate requirements.
  • Collaborate with Production Analyst(s) and Creative Services on graphic creation, and provide direction for proposal components such as covers, tabs, and media design, and packaging.
  • Oversee the graphics process to ensure their highest quality and adherence to RFX requirements, corporate branding, and consistency.
  • Create, maintain, and revise processes and tools to yield highest-quality, timely, and streamlined production operations.
  • Coordinate with Director of Proposals on redacted material to comply with RFX and legal requirements.
  • Coordinate with Proposal Leadership to ensure response is complete and compliant with RFX requirements.
  • Liaise with Corporate Development Services on SharePoint needs and requirements.
  • Coordinate with Knowledge Management to capture, develop, share, and effectively use organizational knowledge and graphics from previous RFX submissions to help streamline processes for future submissions.
  • Cultivate high editorial standards to deliver high-quality, high-impact response content.
  • Review the RFX solicitation to identify key deliverables and production and submission requirements.
  • Work with internal stakeholders and Production Analyst(s) to produce hard-copy draft documents for review processes.
  • Collaborate with Proposal Leadership to ensure a smooth submission process.
  • Implement quality control standards.
  • Stay current with Medicaid proposal production standards and trends.

Education & Experience:

  • Equivalent work experience or Bachelors’ Degree.
  • Three to five years related or similar work experience required.
  • Exceptional attention to detail to ensure style and formatting consistencies.
  • Demonstrated ability to prioritize tasks to complete multiple, occasionally competing, projects.
  • Ability to conceptualize and develop graphics for business development documents.
  • Willingness to work nights and weekends when needed to meet deadlines.
  • Advanced Adobe Acrobat/PDF and pre-flight skills.
  • Advanced Microsoft Word skills.
  • Advanced Microsoft Excel skills.
  • Willingness to learn new software and systems.
