About the Opportunity
AGG is seeking an Administrative Support Lead to provide senior-level administrative, records, reporting, workflow coordination, customer service, and office operations support for U.S. Army student and soldier populations in Columbia, South Carolina. This position supports day-to-day mission execution by organizing complex administrative work, maintaining accurate records and tracking tools, coordinating suspense-driven actions, preparing correspondence and reports, and serving as a lead administrative resource for staff and customers in a regulated Government environment.
Key Responsibilities
- Lead and coordinate administrative support activities for assigned office functions, ensuring work products, records, customer inquiries, suspense items, and reporting requirements are completed accurately and on time.
- Plan, organize, and track recurring and non-recurring administrative actions, including correspondence, reports, data calls, meeting support, suspense control, file maintenance, routing packages, and office workflow requirements.
- Prepare, review, edit, format, and assemble administrative documents, memoranda, briefings, spreadsheets, rosters, status reports, standard operating procedures, and leadership-facing deliverables for grammar, accuracy, completeness, and compliance with established guidance.
- Maintain electronic and hard-copy administrative records, logs, trackers, databases, and official files; ensure records are organized, current, retrievable, protected, and audit-ready in accordance with applicable procedures.
- Receive, screen, prioritize, and respond to customer inquiries through email, Microsoft Teams chat, telephone, and in-person interaction; research issues, provide status updates, explain administrative requirements, and elevate matters requiring Government decision authority.
- Coordinate calendars, meetings, appointments, office communications, taskers, and follow-up actions; prepare agendas, capture administrative notes, distribute information, and track action items to completion.
- Manage travel for all assigned personnel through the Defense Travel System (DTS) and the Army Training Requirements and Resources System (ATRRS), including creating travel authorizations and assisting with travel vouchers for submission to Government approval authorities.
- Compile information from multiple sources, reconcile inconsistencies, validate data accuracy, research missing information, and produce administrative summaries, reports, and tracking updates for supervisors and Government representatives.
- Serve as a lead administrative point of contact for routine office procedures, document control, records organization, customer service standards, and administrative continuity across assigned support areas.
- Operate standard office automation systems, shared drives, electronic records repositories, databases, word processing tools, spreadsheets, presentation software, email, calendars, scanners, copiers, and collaboration platforms to complete administrative work.
- Monitor updates to applicable administrative procedures, maintain awareness of Government-provided guidance and training requirements, and support continuous improvement of office processes, templates, logs, and workflow controls.
Required Qualifications
- High school diploma or GED required; associate degree, business school training, or equivalent administrative coursework preferred.
- Minimum of five (5) years of progressively responsible administrative, office management, clerical, records management, executive support, or related experience performing complex administrative work.
- Experience in independent performance of difficult and responsible administrative functions, application of detailed knowledge of office procedures, and completion of assignments requiring judgment, analysis, and coordination.
- Demonstrated ability to organize complex workloads, control suspense items, track multiple priorities, prepare accurate reports, coordinate meetings, maintain official records, and support supervisors or Government representatives with minimal day-to-day direction.
- Advanced proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, Teams, calendars, shared drives, electronic records repositories, databases, scanners, copiers, and other standard office automation tools.
- Strong ability to review correspondence, forms, rosters, reports, and data entries for completeness, grammar, format, mathematical accuracy, internal consistency, and compliance with established administrative requirements.
- Excellent written and verbal communication skills with the ability to interact professionally with military personnel, students, Government representatives, contractor staff, and external stakeholders.
- Strong attention to detail, discretion, confidentiality, customer service orientation, organizational discipline, problem-solving ability, and sound judgment when handling sensitive administrative information.
- Must be a United States citizen and able to obtain and maintain the Government-designated suitability, background investigation, Common Access Card, and system access requirements for the position.
Physical and Work Environment Requirements
- Work is primarily performed in a fast-paced office environment supporting customers by email, Microsoft Teams chat, telephone, and in-person interaction.
- Must be able to remain in a stationary position for extended periods while operating standard office equipment, including computers, phones, scanners, copiers, and printers.
- Must be able to organize, scan, file, retrieve, and transport administrative records and office materials, with occasional lifting up to 20 pounds, with or without reasonable accommodation.
- Normal duty hours are expected to align with Government operating hours in Columbia, South Carolina; schedule adjustments may be required based on mission needs.
