KEY RESPONSIBILITIES

• Maintain and manage all company documentation, ensuring accuracy, up-to-date content, and proper storage
• Ensure that all documentation is correctly numbered, logged, distributed, and archived/stored
• Coordinate with project managers, engineers, and other stakeholders to collect and track all documentation throughout the project lifecycle
• Review and update documents to ensure accuracy and compliance with company standards
• Conduct regular audits to ensure documents are properly maintained and comply with company and regulatory standards
• Provide training to staff on proper handling and use of document management systems
• Provide training and support to client personnel on the operation and maintenance of control systems
• Respond to requests for information and documentation in a timely and efficient manner
• Monitor and manage the document review process, ensuring all documents are reviewed and approved as required
• Implement and maintain document control processes and procedures to improve the efficiency of the document control system
• Assist in the preparation of reports, presentations, and other documentation as required
• Handle departmental administrative tasks in coordination with the direct supervisor

KNOWLEDGE AND SKILLS

• Secondary education or equivalent
• Minimum of 3 years of experience in document control, records management, or a related field
• Proficiency in document management software and Microsoft Office (Word, Excel, PowerPoint)
• Excellent organizational skills and strong attention to detail
• Strong written and verbal communication skills
• Willingness to travel to project sites as required
• Ability to manage multiple tasks and meet deadlines
• Good written and verbal communication and language skills
