Sales and Marketing Coordinator

 

The Sales and Marketing Coordinator is a highly organized and detail-driven individual that supports our growing revenue and marketing initiatives. This role is ideal for someone who thrives in a fast-paced hospitality environment and enjoys balancing administrative precision with marketing creativity.

Responsibilities:

Lead & Sales Administration

  • Monitor inbound leads (email, phone, CVENT, VisitLex)
  • Enter and manage leads in Tripleseat CRM
  • Assign leads to appropriate Sales Managers
  • Track contract status and confirm receipt of deposits
  • Maintain organized contract and booking records

Group Block & Financial Support

  • Audit group reservations for accuracy
  • Monitor group pickup and identify attrition risks
  • Process rooming lists
  • Communicate group arrivals with Front Office
  • Coordinate block extensions or reductions
  • Track outstanding deposits and balances
  • Assist with invoice generation and billing coordination

Marketing & Sponsorship Coordination

  • Evaluate incoming marketing, sponsorship, influencer, and partnership requests
  • Assess alignment, revenue potential, and trade value
  • Present qualified opportunities to Director of Sales
  • Maintain marketing inquiry and sponsorship trackers
  • Track trade usage (rooms & F&B) against budget
  • Compile post-event recaps and exposure summaries
  • Maintain annual sponsorship calendar

Email & Digital Marketing

  • Build and deploy email marketing campaigns
  • Maintain and organize email database
  • Monitor open rates, click-through rates, and booking conversions
  • Maintain digital asset library (photos, one-sheets, promotional materials)
  • Audit website promotions and descriptions

Website Maintenance

  • Maintain website content including room descriptions, packages, seasonal promotions, and outlet informations
  • Update photography as needed
  • Coordinate with third-party web vendor for larger updates
  • Test booking links and promotional codes
  • Conduct quarterly website audits

Qualifications:

  • 1-3 years of experience in hospitality, sales, marketing, or administrative support
  • Strong organizational and time management skills
  • Experience with CRM systems (Tipleseat preferred)
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Comprehending the group sales process
  • Experience with email marketing platforms preferred
  • Analytically approaches problem solving
  • Able to analyze financial statements and market data
  • Desires to participate as part of a team
  • Demonstrates self-confidence, energy and enthusiasm
  • Presents ideas and information in a concise, well-organized way
  • Effective listening skills
  • Manages group or interpersonal conflict situation effectively
  • Manages time well, correctly prioritizing tasks
