Summary/objective
The Buyer / Material Planner is responsible for the procurement, replenishment, and material planning of direct materials required to support food manufacturing operations. This position manages supplier relationships, ensures continuity of supply, supports daily production scheduling requirements, and collaborates closely with Operations, Production Planning, Sales, Marketing, Quality, R&D, Customer Service, Finance, logistics and third-party warehousing partners.
The Buyer / Material Planner is responsible for balancing inventory investment, service levels, quality standards, supply chain risk, and cost objectives while monitoring supplier performance, material availability, demand requirements, and third-party logistics performance. This role supports material planning, procurement compliance, supplier development, warehouse oversight, and continuous improvement initiatives that contribute to the organization's operational and financial success.
Success in this role is measured by the ability to maintain uninterrupted material availability while supporting production schedules and customer service requirements through effective material planning, procurement, inventory management, and supplier performance. Key performance indicators include material availability, supplier on-time delivery, inventory turns, inventory accuracy, forecast and replenishment accuracy, ERP data integrity, production schedule attainment, supplier performance, cost savings achievement, purchase price variance (PPV), warehouse service-level performance, contract compliance, and customer service levels. Success is also evaluated through the effective management of third-party warehouse partners, supply chain risk mitigation, procurement compliance, and continuous improvement initiatives that enhance operational efficiency and financial performance.

Material Planning & Production Support
Review daily production schedules, demand forecasts, and inventory positions to ensure material availability for manufacturing operations.
Execute daily MRP recommendations and replenishment activities to support production requirements while maintaining targeted inventory levels.
Collaborate closely with Production Planning to identify material constraints and proactively resolve potential shortages.
Analyze inventory positions, open purchase orders, supplier lead times, and forecasted demand to maintain continuity of supply.
Participate in production planning meetings and communicate material availability risks, supplier delays, and inventory concerns.
Prioritize procurement activities based on production schedules, customer demand, inventory levels, and business priorities.
Monitor safety stock levels, reorder points, minimum order quantities, and supplier lead times to support uninterrupted production.
Recommend inventory strategies that improve service levels while minimizing excess and obsolete inventory.
Maintain visibility of critical materials and provide timely updates regarding supply risks, inventory concerns, and recovery plans.
Support schedule changes, production adjustments, new product launches, and customer demand fluctuations through effective material planning and supplier coordination.
Procurement & Inventory Management
Manage daily procurement activities for raw materials, ingredients, packaging, and other direct materials required to support manufacturing operations.
Plan and execute inventory replenishment activities based on forecasts, production schedules, customer demand, safety stock requirements, and inventory targets.
Review and action daily MRP planning messages, exception reports, and replenishment recommendations.
Create, issue, maintain, and monitor purchase orders to ensure accurate pricing, specifications, delivery schedules, and contractual requirements.
Maintain continuity of supply by placing purchase orders within established supplier lead times and proactively identifying potential shortages, delays, and supply chain disruptions.
Coordinate with suppliers to resolve delivery issues and expedite orders when necessary to support production requirements.
Communicate potential supply risks, shortages, and delays to Supply Chain Management and Production Planning in a timely manner.
Monitor inventory levels, demand forecasts, consumption trends, and supplier performance to optimize inventory investment and minimize stockouts and excess inventory.
Maintain material planning parameters including lead times, safety stock levels, reorder points, minimum order quantities, and order multiples.
Coordinate supplier deliveries to align with production schedules and warehouse capacity requirements.
ERP System & Data Integrity
Maintain accurate purchasing, supplier, inventory, lead-time, replenishment, and planning data within the ERP system.
Optimize ERP system functionality to support production planning, inventory management, procurement reporting, and business decision-making.
Ensure purchase orders remain current and accurate throughout the procurement cycle.
Maintain accurate planning parameters to support MRP recommendations and inventory replenishment.
Identify and eliminate obsolete materials, supplier records, and system data to improve system integrity and reporting accuracy.
Support continuous improvement initiatives related to purchasing processes, planning processes, and system utilization.
Supplier Management & Strategic Sourcing
Develop and maintain strong relationships with approved suppliers to support service, quality, delivery, and cost objectives.
Assist in developing and executing sourcing strategies that support organizational goals related to cost, quality, service, risk mitigation, and supply continuity.
Support supplier development initiatives focused on improving supplier performance, service levels, responsiveness, and supply continuity.
Measure, analyze, and report supplier performance using key performance indicators including quality, service, responsiveness, delivery performance, and cost competitiveness.
Assist in identifying, evaluating, qualifying, and onboarding new suppliers.
Coordinate supplier documentation and support vendor setup requirements.
Support efforts to expand, rationalize, and optimize the supplier base to improve competitiveness and reduce supply chain risk.
Participate in supplier business reviews and continuous improvement initiatives.
Strategic Procurement & Contract Management
Conduct Request for Proposal (RFP), Request for Quote (RFQ), and supplier bid processes.
Analyze supplier proposals and provide sourcing recommendations to Supply Chain leadership.
Assist in negotiating pricing, lead times, service levels, supply agreements, and contractual terms within established authorization levels.
Support procurement initiatives focused on cost reduction, compliance improvement, service enhancement, and supply chain optimization.
Drive alignment with sourcing strategies and procurement objectives across business functions.
Support warehouse transitions, capacity planning, and network optimization initiatives as required.
Third-Party Warehouse Oversight
Manage relationships with third-party warehouse and logistics providers to ensure service levels support business requirements.
Monitor warehouse inventory accuracy through regular reconciliations, cycle counts, inventory audits, and variance analysis.
Investigate and resolve inventory discrepancies between warehouse management systems, ERP records, and physical inventory counts.
Review and validate third-party warehouse invoices to ensure billing accuracy and compliance with contracted rates, storage fees, handling charges, and accessorial costs.
Resolve billing discrepancies and coordinate corrective actions with warehouse providers and Finance.
Monitor warehouse performance metrics including inventory accuracy, order accuracy, receiving performance, shipping performance, and service-level compliance.
Ensure third-party warehouse providers adhere to contractual obligations, service agreements, food safety requirements, quality standards, and regulatory requirements.
Participate in warehouse business reviews and identify opportunities for cost savings, process improvements, and operational efficiencies.
Coordinate with Production Planning, Customer Service, Operations, logistics and warehouse partners to address inventory, storage, and fulfillment issues.
Support warehouse transitions, capacity planning, and network optimization initiatives as required.
Cross-Functional Business Support
Collaborate closely with Production Planning to ensure material availability aligns with manufacturing schedules.
Support Sales and Customer Service teams with demand changes, customer requirements, and business growth initiatives.
Provide project support for Marketing, Sales, and Research & Development initiatives, including new product development and product commercialization efforts.
Work with Quality and Food Safety teams to ensure suppliers meet company and regulatory requirements.
Procure-to-Pay (P2P) & Compliance
Support Procure-to-Pay initiatives and purchasing process compliance.
Reconcile invoice discrepancies and resolve supplier billing issues to ensure proper charges and system integrity.
Identify and elevate out-of-channel purchasing activities.
Provide purchasing process guidance and training to internal stakeholders as needed.
Ensure compliance with company procurement policies, approved supplier requirements, food safety standards, and applicable regulatory obligations.
Supply Planning & Market Intelligence
Monitor supplier capacity, lead times, commodity markets, crop conditions, transportation trends, and domestic supply conditions impacting material availability.
Identify short-term and long-term supply risks and communicate mitigation strategies to Supply Chain leadership.
Review supplier performance, demand trends, and inventory requirements to support proactive planning decisions.
Provide timely updates regarding market conditions, supplier constraints, and material availability risks.
Support contingency planning efforts to minimize production disruptions and maintain customer service levels.
Continuous Improvement
Participate in cross-functional initiatives focused on supply chain efficiency, cost savings, supplier performance, inventory optimization, and operational excellence.
Support process improvement efforts that enhance customer satisfaction, procurement effectiveness, warehouse performance, and overall business results.
Identify opportunities to improve purchasing workflows, planning processes, reporting capabilities, supplier partnerships, and logistics operations.

Education & Competencies
Bachelor's degree in Supply Chain Management, Business Administration, Operations, Food Science, or related field preferred.
Minimum 3–5 years of purchasing, procurement, material planning, inventory management, or supply chain experience within food manufacturing, consumer packaged goods, agriculture, or related industries.
Experience utilizing ERP/MRP systems to support material planning, inventory replenishment, and production scheduling activities preferred.
Experience managing or coordinating with third-party warehouses, logistics providers, or distribution partners preferred.
Strong understanding of inventory management, replenishment planning, production support, and purchasing processes.
Understanding of food manufacturing operations, ingredient sourcing, packaging procurement, warehousing, and food safety requirements.
Strong analytical, negotiation, communication, and problem-solving skills.
Advanced proficiency in Microsoft Excel and procurement reporting tools.
Ability to manage multiple priorities in a fast-paced manufacturing environment.
