Your Role

STABL is growing and professionalizing its internal structures. We’re looking for a reliable, hands-on and service-oriented part-time Office Manager to support STABL Energy’s growing team of ~80 talented professionals and to ensure that the physical office environment works reliably in day-to-day operations. This position is well suited for a part-time setup of approximately 2–3 days per week. In this role, you keep the office stable and functional: meeting rooms, supplies, visitors, deliveries, workplace order, facility coordination and direct support for employees. You are present in the office, approachable as the first point of contact for practical office questions, and help create a productive, welcoming and well-organized work environment for our employees and guests.

Based in Munich, this is a part-time (15–25 hours/week) position requiring 100% office presence, with a strong focus on operational support and reliable execution rather than strategic process design.

Your mission

• Office Operations & Facilities: Ensure smooth day-to-day office operations, keep shared areas usable and organized, and coordinate facility topics with the landlord, building management, cleaning service and external service providers.
• Meeting Rooms & Shared Spaces: Prepare meeting rooms, follow up after use, coordinate room readiness, and support practical improvements around meeting rooms, kitchen/toilets and shared workspaces.
• Supplies, Furniture & Deliveries: Coordinate office supplies, furniture, consumables, packages, mail, deliveries and simple orders, including basic invoice or receipt checks where needed.
• Visitors & Workplace Conduct: Support the Visitor Log and day-to-day implementation of the Office Use & Shared Workspace Conduct Policy so that office rules are visible, clear and easy to follow.
• Office Tickets & Employee Support: Act as the first point of contact for practical office topics, capture office-related requests cleanly, solve small issues quickly or before they occure, answer recurring office questions, and route more complex topics to the relevant Enablement role.
• Events, Travel & Company Cars: Provide operational support for internal events, company cars and travel-related requests.
• Documentation & Coordination: Maintain simple, structured documentation for office processes, requests, supplies and service provider coordination.

Your profile

• Solid experience in office management, facility coordination, team assistance, workplace coordination or a similar hands-on operational role.
• Very strong organizational skills, reliability and attention to detail.
• Service-oriented mindset and visible presence in the office.
• Friendly, direct and professional communication with employees, visitors and external partners.
• Basic understanding of orders, suppliers, deliveries and simple invoice or receipt checks.
• Ability to document simple processes and requests in a structured way.
• Hands-on, practical approach; this role does not require a strategic transformation or senior project management profile.
• Fluent in English and German, written and verbal.
• Confident use of Outlook, Teams, SharePoint and Forms.
• Ability to maintain simple ticket systems, lists or routing workflows in a disciplined way.
