Warehouse Administrative Coordinator - Grand Prairie, TX

Job Summary:

We are seeking a highly organized and proactive Warehouse Administrative Coordinator to support day-to-day administrative and operational activities at our warehouse facility. This role is responsible for maintaining office operations, coordinating facility and vendor services, supporting warehouse employees and leadership, managing workplace resources, coordinating department lunch orders and company events, and ensuring a safe, efficient, and professional work environment. The ideal candidate is detail-oriented, service-minded, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Welcome and assist visitors, vendors, and guests while maintaining a professional and organized workplace environment.
  • Provide on-site administrative support for warehouse operations and daily business activities.
  • Manage office supplies, equipment, inventory, and workplace resources to ensure uninterrupted operations.
  • Assist with RMA defective product returns. Verifying product details and noting in ticketing software (Zendesk)
  • Assisting with maintaining, inventorying and the scheduling of defective product e-waste/recycling.
  • Coordinate facility maintenance, repairs, workplace improvements, and vendor services.
  • Serve as the primary point of contact for office vendors, service providers, building management, and utility providers.
  • Process and track office-related invoices, purchase requests, and expense documentation.
  • Maintain office records, contracts, service agreements, and vendor documentation.
  • Support workplace safety initiatives and assist with compliance-related administrative requirements.
  • Coordinate shipping, mail distribution, courier services, and incoming deliveries.
  • Coordinate department lunch orders, catering arrangements, and meal deliveries for employees and visitors.
  • Assist with planning and coordinating company meetings, employee events, celebrations, and other workplace activities.
  • Provide administrative support to department managers and warehouse leadership as needed.
  • Perform additional duties and special projects as assigned to support business operations.

Qualifications:

  • 1–3 years of experience in office administration, general affairs, facilities coordination, or administrative support roles preferred.
  • Strong organizational, time management, and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Experience working in a warehouse, distribution, logistics, or manufacturing environment is a plus.

Skills and Competencies:

  • Strong customer service mindset and ability to support employees across departments.
  • Excellent problem-solving and follow-up skills.
  • Ability to manage multiple projects and priorities simultaneously.
  • Experience working with vendors, service providers, and facility management is a plus.
