Summary:
The Reception & Administrative Associate serves as the first point of contact for BRIX Marine by providing professional front desk reception and administrative support. This position helps ensure efficient daily office operations while providing administrative support to the Accounting Department.

Duties:
• Serve as the first point of contact for visitors, customers, vendors, applicants, and callers by providing professional and courteous front desk reception
• Greet and direct facility visitors while communicating safety policies.
• Receive, sort, and distribute incoming and outgoing mail, deliveries, and office shipments.
• Perform general administrative duties including mailing, typing, scanning, photocopying, filing, and document preparation.
• Manage inventory and ordering of office and breakroom supplies, promotional materials, company apparel, and other administrative supplies.
• Assist Management Team, when requested, with day-to-day business operation needs, special projects, reporting, and organizational initiatives.
• Maintain office organization, reception areas, conference rooms, and administrative filing systems.
• Assist with meeting and conference room coordination.
• Provide administrative support to the management team by preparing and organizing documentation, assisting with data entry maintaining organized records, and coordinating other routine activities.
• Prepare and maintain supporting documentation for vessel sales, and other routine administrative documentation.
• Protect company operations by maintaining the confidentiality and security of sensitive information.
• Participate in regular/required meetings.

Qualifications:
• HS diploma or equivalent.
• 18+ years of age and legally authorized to work in the US.
• Two to three years of relevant administrative, bookkeeping, office support, or front desk experience, or an equivalent combination of education and experience.
• MS Office proficiency.
• Basic mathematical skills and attention to detail.
• Ability to organize and maintain accurate records while handling confidential information.
• Washington State Notary Public commission preferred.
• Experience with accounting software, QuickBooks, or ADP Workforce Now preferred.
• Excellent verbal and written communication.
Environment:
Work is performed in an office environment adjacent to a metal manufacturing facility. Noise levels are occasionally moderate. While performing the duties of this job, the employee is regularly required to sit, stand, walk, and use standard office equipment. The employee is occasionally required to bend, stoop, kneel, crouch, climb stairs, reach, and lift or move office supplies and materials weighing up to 25 pounds.
