Rather than moving data from the source, OctaiPipe moves algorithms to the data - enabling learning directly at the edge through novel federated AI technology. Its flagship AI for Cooling Efficiency (ACE) application is built on OctaiPipe’s proprietary distributed AI platform.

What We Solve

Cooling is one of the biggest energy challenges in modern data centres, accounting for more than 30% of total facility energy usage. OctaiPipe’s ACE platform combines AI-driven optimisation with natural language recommendations to reduce cooling energy consumption by up to 30%, helping operators improve sustainability, efficiency, and operational performance.

Reducing cooling energy usage at this scale can lower overall data centre energy consumption by at least 10%. If adopted across all UK or US data centres today, this level of efficiency could effectively double global data centre capacity - without building a single new facility.

What We Are Looking For

We’re looking for a People Operations Manager to take end-to-end ownership of our people function as we grow and scale. This role will be central to shaping team performance, culture, and employee experience, with a real opportunity to engineer an environment that gives people an amazing experience while also enabling them to perform at their best. Done well, this will support high retention, strengthen team cohesion, and help compound the intellectual capital of the business over time. You’ll own everything people-related, from recruitment and contracts through to HR compliance, performance, culture, and retention, while partnering closely with the VP of Operations, Office Admin, and people managers across the company.

Key Responsibilities

Employee Relations & Wellbeing

  • Act as the primary point of contact for employee concerns and grievances
  • Manage conflict resolution and promote employee wellbeing initiatives
  • Maintain a positive workplace culture and a safe environment for raising issue

Employee Engagement & Culture

  • Design and run employee engagement surveys; analyse results and present action plans
  • Organise company events and team-building activities
  • Manage internal communications related to culture and employee experience

Employer Branding

  • Define and promote the company's employer brand
  • Manage presence on platforms such as LinkedIn and Glassdoor
  • Create content that showcases culture and values to attract talent

Recruitment & Hiring

  • Define job descriptions and requirements in partnership with hiring managers
  • Post and manage job openings across relevant channels and platforms
  • Manage applicant tracking and coordinate with recruitment agencies
  • Screen CVs, coordinate interviews, and conduct reference checks
  • Send offers, manage offer letters, and draft work agreements

Onboarding

  • Coordinate first-day logistics and set up onboarding checklists
  • Ensure IT equipment and system access are ready for new starters
  • Run onboarding sessions covering company culture, policies, and ways of working
  • Track probation periods and schedule mid- and end-of-probation reviews
  • Ensure managers complete required evaluations; confirm or extend probation in writing

Off-boarding

  • Manage the full resignation and termination process
  • Conduct exit interviews and ensure knowledge transfer
  • Coordinate revocation of system access and process final pay and documentation

Employment Contracts & Documentation

  • Draft and manage employment contracts, NDAs, amendments, and offer letters
  • Maintain accurate, GDPR-compliant employee records and personnel files

HR Policies & Employee Handbook

  • Create, update, and communicate HR policies across the organisation
  • Maintain the employee handbook, ensuring it reflects current UK employment law and company values

Payroll Administration

  • Collect and process payroll data (hours, bonuses, deductions)
  • Coordinate with the payroll provider to ensure timely, accurate salary payments
  • Manage payslip distribution and resolve payroll queries

Compensation & Benefits Management

  • Design and review compensation structures; manage salary benchmarking
  • Administer employee benefits (health insurance, pension, perks)
  • Communicate benefits clearly to employees and manage enrolment

Performance Management

  • Design and roll out performance review cycles and goal-setting frameworks (OKRs/KPIs)
  • Support managers in delivering effective feedback and managing difficult conversations
  • Own the Performance Improvement Plan (PIP) process end-to-end

Learning & Development (L&D)

  • Identify training needs across the organisation
  • Source and coordinate training programmes; manage the L&D budget
  • Track certifications, completion rates, and career development pathway

Absence & Leave Management

  • Track and manage annual leave, sick leave, parental leave, and other absences
  • Maintain accurate leave records and ensure compliance with statutory entitlements

Compliance & Employment Law

  • Ensure compliance with UK employment law, regulations, and right-to-work checks
  • Maintain GDPR compliance for all employee data
  • Stay current with legislative changes and advise leadership on implications

HR Data & Reporting (HRIS)

  • Maintain and update the HRIS / HR system
  • Produce regular HR reports (headcount, turnover, absence rates, diversity metrics)
  • Provide data-driven insights to leadership for workforce planning and decision-making

Organisational Design & Workforce Planning

  • Advise on organisational structure and support restructuring or team design decisions
  • Maintain an updated org chart and support VP Ops in planning for future workforce needs aligned with company growth

Disciplinary & Grievance Procedures

  • Manage formal disciplinary and grievance processes end-to-end
  • Advise managers on handling complaints; document investigations and outcomes
  • Ensure all procedures are fair, consistent, and legally compliant

Visa, Work Permits & Relocation

  • Manage visa and work permit applications in liaison with immigration solicitors
  • Support employee relocation logistics and maintain right-to-work documentation

HR Tools & Systems Management

  • Manage HR software (ATS, HRIS, payroll tools)
  • Maintain system integrity, train staff on HR tools, and manage vendor relationships for HR platforms

Requirements

  • 3–5 years' experience in a People Ops, HR generalist, or HR manager role, ideally in a tech startup or scale-up environment
  • Strong working knowledge of UK employment law, GDPR, and statutory compliance
  • Hands-on experience managing the full employee lifecycle - recruitment, contracts, onboarding, performance, offboarding
  • Experience designing and implementing HR policies, performance frameworks, and employee handbooks
  • Comfortable owning disciplinary, grievance, and PIP processes independently
  • Experience with payroll coordination, compensation benchmarking, and benefits administration
  • Proficiency with HRIS/ATS platforms and HR tooling
  • Strong data skills - able to produce and interpret HR reports for leadership
  • CIPD Level 5 qualification (or equivalent experience) preferred

Nice to Have

  • Experience supporting ISO certification programmes (ISO 42001, ISO 27001, SOC 2) from an HR/people perspective
  • Experience with international hiring or US expansion (contractor setup, EOR providers)
  • Familiarity with visa/immigration processes for UK-based hires
  • Experience in an AI, deep-tech, or regulated-industry environment
