Summary

The HR Safety Coordinator administers and supports the organization's safety programs while serving as the primary resource for workers' compensation and leave administration. This role partners with operations, leadership, employees, and external vendors to maintain a safe workplace, ensure compliance with OSHA and Cal/OSHA regulations, conduct investigations, manage claims, facilitate training, and support employee relations matters. The position also supports the HRBP regarding workplace conduct, Drug-Free Workplace Program compliance, reasonable suspicion incidents, workplace violence prevention, and the consistent application of company policies and procedures. 

Education / 

Experience

 

  • High school diploma or equivalent required; Associate's degree preferred.
  • Minimum two (2) years of experience in safety, workers' compensation, employee relations, human resources, or a related field.
  • Experience with OSHA, Cal/OSHA, workers' compensation, FMLA, CFRA, ADA accommodations, leave administration, and workplace investigations preferred.
  • Manufacturing or warehouse experience preferred.
  • Experience conducting safety training, orientation, and employee coaching preferred.
  • Bilingual English/Spanish preferred.
  • OSHA 30, First Aid/CPR, SHRM-CP, PHR, ASP, or related certifications are a plus.
  • ADP TotalSource experience is a plus. 

Requirements

  • Working knowledge of OSHA, Cal/OSHA, workers' compensation administration, return-to-work programs, leave administration, and employee relations principles.
  • Strong written and verbal communication skills with the ability to interact professionally with employees, leadership, vendors, medical providers, and regulatory agencies.
  • Advanced proficiency with Microsoft Office Suite, particularly Excel, Word, PowerPoint, and Outlook.
  • Ability to prepare and analyze daily, weekly, monthly reports.
  • Strong organizational, analytical, and problem-solving skills with the ability to manage multiple priorities.
  • Ability to conduct training, facilitate meetings, and present information to groups.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Ability to work independently after training while maintaining close alignment with Human Resources and Operations.
  • Demonstrated ownership, accountability, initiative, and adaptability in a fast-paced manufacturing environment.
  • Ability to support a 24/7 operation, including occasional weekends, off-shift matters, investigations, and emergencies.

  • Ability to maintain accurate records and communicate metrics to management.

Duties /

Responsibilities

Safety Management & Regulatory Compliance

  • Administer and support the organization's safety programs and initiatives.
  • Conduct safety inspections, audits, and risk assessments.
  • Maintain OSHA 300 logs, SDS manuals, and required documentation.
  • Investigate accidents, incidents, near misses, and unsafe conditions.
  • Recommend and implement corrective actions.
  • Coordinate OSHA and Cal/OSHA compliance activities.
  • Organize and lead safety meetings and emergency preparedness initiatives.

Workers' Compensation & Leave Administration

  • Serve as the primary contact for workers' compensation claims and injury reporting.
  • Coordinate accident investigations and return-to-work programs.
  • Communicate with employees, supervisors, medical providers, adjusters, and third-party administrators.
  • Administer FMLA, CFRA, Pregnancy Disability Leave (PDL), ADA accommodations, and other leave programs.
  • Maintain claim and leave records in accordance with company policies and applicable laws.

Training & Employee Relations Support

  • Conduct new hire orientation and safety-related training.
  • Support employee relations matters and workplace investigations in partnership with the HRBP.
  • Support Drug-Free Workplace Program procedures, reasonable suspicion incidents, and workplace violence prevention activities.
  • Conduct fact-finding investigations, gather witness statements, review CCTV footage, and prepare summaries and recommendations.
  • Support attendance, conduct, and performance-related concerns, including coaching and corrective actions.
  • Promote employee awareness and engagement regarding safety initiatives.

Recruiting & Administrative Support

  • Participate in interviews and onboarding activities.
  • Prepare and maintain HR, safety, workers' compensation, leave administration, and compliance reports.
  • Maintain personnel and safety records.
  • Support continuous improvement and cost-saving initiatives.
  • Perform other duties as assigned.

Continuous Improvement & Special Projects

  • Support continuous improvement initiatives and cost-saving projects that enhance employee engagement, safety, compliance, and operational effectiveness.
  • Participate in special projects and cross-functional initiatives as assigned.
  • Recommend process improvements and practical solutions to support business objectives.
  • Promote a positive work environment and support the Company's culture and values.

Physical Requirements /

Working Conditions

  • Ability to walk, stand, and move throughout production and warehouse environments for extended periods.
  • Ability to sit for extended periods while performing administrative duties.
  • Must be able to wear required PPE when entering production and warehouse areas.
  • Ability to occasionally lift and carry up to 25 pounds.
  • Position requires approximately 50% office work and 50% floor presence.
  • Exposure to manufacturing environments including noise, machinery, forklifts, and varying temperatures.
  • Flexibility to support occasional evenings, weekends, emergencies, and off-shift matters.
