Responsibilities

Provide administrative support to the Chief of Staff and multiple departments, including managing filing systems and handling departmental finances. Coordinate interdepartmental meetings, manage external vendors, and execute special projects as requested.

Requirements

Requires one to three years of administrative experience or an equivalent combination of education and experience. Must be highly proficient in Microsoft Office Suite with strong organizational and communication skills.

Full job description

The Intrepid Museum is currently seeking a Coordinator who is responsible for providing administrative support to multiple departments and reports to the Chief of Staff.

Responsibilities include but are not limited to:

•    Manage and maintain departmental filing system; ensure compliance with record retention protocols

•    Write thank-you letters and handle mailings

•    Coordinate business gifts 

•    Handle department finances: 

o    Create purchase orders, code and track invoicing for multiple departments

o    Manage department expenses

o    Assist in developing department budgets

•    Coordinate work with external vendors

•    Coordinate scheduling of major interdepartmental meetings

•    Attend interdepartmental meetings, prepare and distribute reports as needed, follow up on the action items

•    Provide administrative support to the Chief of Staff

•    Other special projects as requested by the Chief of Staff

•    Perform other duties as required by management

Qualified candidates must have One to three years administrative experience or training, or equivalent combination of education and experience. Highly proficient in Word, Excel, PowerPoint and data entry. Excellent organizational skills, attention to detail and ability to multitask effectively. Ability to complete projects efficiently and meet deadlines. Ability to represent multiple departments in a highly professional manner and maintain confidentiality of sensitive data/material. Strong interpersonal and communication skills at all levels of an organization, from line workers to senior management level. Ability to be flexible, proactive and resourceful. Strong critical-thinking and problem-solving skills. Values collaboration
