Intentional Philanthropy is seeking a Client Services Manager to coordinate foundation operations, support thoughtful grantmaking, and help clients move complex work forward with clarity and care.

Position Overview

The Client Services Manager works closely with other IP team members to manage a diverse mix of client foundation operations and grantmaking programs. This role is responsible for the smooth operation of select managed foundations and projects, coordinating workflows, timelines, deliverables, meetings, and communications across multiple workstreams.

The Manager will work alongside IP colleagues while increasingly taking ownership of day-to-day client activities, board and committee meeting logistics, grantmaking processes, research, and the development of reports and presentations. The role requires someone who can organize complex information, anticipate next steps, communicate clearly, and consistently deliver accurate, high-quality work.

This is an ideal opportunity for a thoughtful and highly organized professional who enjoys balancing client service, project coordination, research, and operational detail. The successful candidate will be comfortable working independently within established parameters while knowing when to ask questions or escalate complex and novel issues.

This is a full-time, exempt, hybrid role based in Maryland. Employees must be able to commute periodically to IP's Bethesda office and travel regularly within the Washington, DC metropolitan area for meetings, site visits, and other in-person responsibilities. Occasional evenings, weekends, and overnight travel may be required.

Scope & Accountability

A developing contributor responsible for managing projects and workflows within established parameters. Makes day-to-day decisions related to execution, timelines, and coordination. Accountable for quality, consistency, and delivery; escalates complex or novel issues.

Roles & Responsibilities

1. Foundation Operations

  • Proactively manage workflows, timelines, deliverables, and coordination
  • Develop reports, presentations, memos, agendas, grant summaries, and budgets
  • Coordinate client and board meeting planning, logistics, materials, and follow-up
  • Manage foundation administration, scheduling, expenses, financial reporting support, files, minutes, and policies

2. Grantmaking

  • Support grant application processes and applicant and grantee communications
  • Review and summarize applications, conduct due diligence, and support interviews and site visits
  • Process grant payment requests and verify required approvals and payment information

3. Research and Strategy

  • Contribute to strategy development across grantmaking, governance, and operations
  • Conduct and synthesize research and stakeholder interviews
  • Support surveys, data management, analysis, reports, presentations, and visual graphics

4. Internal Projects and Support

  • Collaborate with IP team members to improve processes and share knowledge
  • Participate in software implementation, resource development, and other organizational improvement projects

Education & Experience

  • Bachelor's degree and a minimum of four to five years of professional experience with steadily increasing job responsibility.
  • Ability to quickly learn and use new technology for managing grants and operations, including accounting software, project management or workflow software, and a grants management database.

Knowledge, Skills & Abilities

  • Ability to proactively manage complex workflows, coordinate with team members, and prioritize competing demands to meet deadlines.
  • Strong organization and research skills and an understanding of how to gather, analyze, and synthesize diverse information from written documents and interviews.
  • Impeccable professional written and verbal communication skills, including the ability to synthesize large volumes of information into emails and reports that match client communication preferences.
  • Ability to quickly learn and use new technology for managing grants and operations, including accounting software and a grants management database.
  • Ability to work independently with attention to detail while also interacting effectively with a team.
  • Ability to seek and incorporate feedback and deliver timely work products with strict attention to detail.
  • Ability to take the work seriously without taking oneself too seriously.

Benefits & Compensation

The salary range for this position is $62,250–$83,000, commensurate with directly relevant experience, demonstrated Manager-level competencies, and internal equity.
