About:
The Patient Representative is the first point of contact for patients and their families, ensuring a welcoming, professional experience at our dermatology practice. This role focuses on patient advocacy, communication, and administrative support. The ideal candidate is compassionate, detail-oriented, and skilled at problem-solving and customer service.
Responsibilities:
Answers all incoming calls, assesses callers’ needs, and directs calls to appropriate personnel.
Schedules new patients and return appointments in the computer system in accordance with the physician and/or office guidelines. Cancels and reschedules appointments according to the physician's schedule changes and notifies appropriate personnel.
Greets patients and visitors promptly, courteously, and professionally. Obtains all appropriate forms as required.
Obtains demographic and insurance information. Obtains a copy of the patient’s insurance cards for the file.
Updates demographic and insurance information in the system as needed.
Registers all new patients into the system. Prepares and organizes new patient charts. Notifies staff of patient arrivals and places charts in appointment order. Assists in preparing charts for the next day’s appointments and prints schedules as needed.
Collects copays, deductibles, and other out-of-pocket amounts at the time of visit. Issues receipts if necessary.
Reviews the lobby area's cleanliness.
Identifies “no shows” and forwards for patient notifications.
Demonstrates an understanding of patient confidentiality to protect the patient and practice.
Follows policies and procedures to contribute to the efficiency of the front office. Covers other front-office functions as requested.
Demonstrates positive interpersonal relations in dealing with fellow employees, management, and providers so that productivity and positive employee relations are maximized.
Check Hudson Dermatology e-mail periodically throughout the day for staffing and procedure updates and notices.
Skills and Qualifications:
High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
Previous experience in a healthcare or customer service role strongly preferred.
Strong active listening, communication, and interpersonal skills.
Service-oriented with the ability to problem-solve and resolve conflicts.
Proficiency in EMR systems (e.g., eClinicalWorks, Epic, MEDITECH).
Competence in Microsoft Office Suite, Google Docs, and CRM software.
Organized and capable of managing multiple priorities in a fast-paced environment.
Work Environment:
Based primarily at front office locations.
High level of daily interaction with patients, families, and staff.
Fast-paced, team-oriented setting with a focus on excellent patient service.
