Reports To: Oaks Ministry Director
Classification: Part time, hourly (8 hrs/week)
About Us
High Point Church is a non-denominational, evangelical church of about 1,000 people in Madison, Wisconsin. Our heart is to build a prevailing church that makes substantive disciples of Jesus.
Oaks Ministry Collaborative exists to equip the local church to be a rehabilitative community for people in the healing process.
About the Role
The Oaks Ministry Assistant plays a key support role in helping Oaks Ministry Collaborative function as a life-giving, organized, and responsive ministry. We are looking for someone who deeply resonates with the mission of Oaks—to equip the local church to be a rehabilitative and resilient community—and who embodies that mission through attention to detail and faithful follow-through with staff, volunteers, and participants.
This person is both relational and administratively strong: someone who notices details, follows through with excellence, and loves creating structure that helps others thrive. They are energized by equipping others for ministry (Ephesians 4) and see administrative work not as secondary, but as essential to cultivating meaningful, Spirit-led care and connection.
Responsibilities
- Coordinate Oaks group logistics, including communication and scheduling with volunteers
- Schedule counseling appointments and volunteer advocate meetings
- Manage email communications, including follow-ups and email marketing
- Facilitate promotion requests and communication across Oaks partner churches
- Assist with event planning and project management for Oaks trainings, gatherings, and initiatives
- Coordinate care and communication with other ministries as needed
- Organize and maintain administrative systems, including files, forms, and tracking processes
- Follow up and check in with individuals who have engaged with Oaks Ministry
- Conduct intake meetings and help connect individuals to next steps within Oaks (groups, advocates, counseling, etc.)
- (Bonus) Assist with content editing and/or website updates

Skills & Experience:
- Strong organizational and administrative skills with attention to detail
- Ability to manage multiple tasks, schedules, and communication threads effectively
- Clear and thoughtful written communication (especially email)

- Comfort interacting with a variety of people in pastoral and ministry contexts
- (Preferred but not required) Experience with content editing, communications, or website management
Why This Role Matters
This role helps create the structure and consistency that allows Oaks Ministry to care for people well. Behind every group, meeting, training, and connection is intentional coordination that ensures individuals are seen, supported, and guided toward healing.
By strengthening the administrative and relational backbone of Oaks, this role directly contributes to building churches that are equipped to walk with people through real stories of restoration. It is a vital part of helping the ministry move from vision to lived reality—where people are not only restored, but become restorers in their communities.
