Position Summary:
The Basilica Shrine of St. Mary has an immediate need for a high-caliber Director of Finance and Administration to serve as a senior leader supporting the Pastor in the stewardship of the parish’s financial, administrative, and operational resources, while operating as a professional peer to the school principal. This position ensures responsible management, financial transparency, and operational excellence in support of the parish's mission.
This role will initially focus on financial stewardship, accounting precision, and day-to-day bookkeeping operations. As these core financial systems are firmly established, the position will gradually expand to encompass broader parish administrative management, including HR and facility oversight.
Key Responsibilities:
Financial & Operational Management: (85%)
- Accounting: Ensure all financial records adhere to GAAP and the USCCB Diocesan Internal Controls framework. Manage AP, AR, monthly balance sheets, and payroll journals.
- Daily/Weekly Cash Management: Process daily/weekly journal entries for deposits and expenses, manage weekly offering counting, and conduct weekly and monthly bank reconciliations.
- Budgeting & Reporting: Lead the preparation, monitoring, and communication of annual operating and capital budgets in alignment with the Diocese of Raleigh's strategic plan. Deliver monthly statements and quarterly/yearly reporting packages to the Pastor, Finance Council, and Diocese.
- Fundraising Support: Assist with parish fundraising, appeals, stewardship initiatives, and capital projects as needed.
Facilities, IT, & Risk Management (10%)
- Infrastructure Stewardship: Maintain exceptional campus standards across the parish and school through collaboration with the Facilities Manager to optimize maintenance schedules, IT infrastructure, and vendor contracts.
- Policy & Risk Development: Update and implement parish policies concerning business, finance, physical operations, and risk management.
Human Resources & Personnel Management (5%)
- Staff Supervision: Direct and supervise key staff members, including Facilities Manager.
- HR Administration: Oversee basic human resource functions, including maintaining employee records and approving parish payroll/timecards. Serve as primary point of contact for diocesan HR as other issues arise.
Minimum Requirements:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Minimum of five years of hands-on, progressive accounting and business management experience. Prior business experience in a parish, school, or non-profit setting is highly preferred.
- Strong proficiency in financial forecasting, non-profit or corporate budgeting setups, and variance analysis tracking.
- Minimum 1–2 years of experience directly supervising or managing staff (e.g., administrative, or facilities personnel), with a proven ability to collaborate effectively with boards or councils.
- Working knowledge of employment regulations, payroll, and benefit management systems.
- Familiarity with assessing vendor agreements, managing maintenance logistics, and property risk management.
- Advanced proficiency with Microsoft Office (Excel, Word, PowerPoint). Strong capability to adapt to integrated/non-integrated data platforms; exposure to ParishSoft, Vanco, FACTS, PayerExpress, or Merchant Direct is highly desired, but comparable system experience is acceptable.
- High level of integrity and strict handling of confidential information. Strong communication and interpersonal skills to offer a welcoming presence to staff and parishioners.
- Understanding of, respect for, and commitment to the mission and values of the Catholic Church and the Diocese of Raleigh.
- Employment is contingent upon passing a criminal background and reference check; must complete Diocese-sponsored Safe Environment Training upon hire.
