What it takes to be part of our team

Are you an exceptional Administrative Assistant who absolutely thrives on being part of an accountable team? Can you dedicate yourself to being part of a team serving the needs of children and their families? Do you bring the highest standards of integrity and professionalism to your team? Do you thrive in an environment where you are valued and appreciated for who you are, how hard you work and for that something special you bring to the teams you choose to work with? Are you looking for an organization that offers competitive compensation and one of the broadest and most comprehensive benefit packages available in the field of healthcare?

This role within our team is mission critical to the health and safety of the children we see every day at our clinic. Our team acts as our first line of defense for maintaining clean and sterile treatment rooms and facilities for our patients and clinical team.

Do you like to be busy and want to be part of a fast paced and accountable team? Can you dedicate yourself to being part of a team serving the needs of children and their families? Do you bring a high standard of integrity and work ethic to your team? Do you thrive in an environment where you are valued and appreciated for who you are, how hard you work and for that something special you bring to the teams you choose to work with? Are you looking for an organization that offers competitive compensation and one of the broadest and most comprehensive benefit packages available in the field of healthcare?

The primary goal of every team member is to bring the best patient care and experience for our area's sickest children. If you feel inspired by what you have read so far, read on.

This is a role that requires a multi-disciplinary team approach to solving problems and patient challenges. "That's not my job" or "someone else can do it" is not in our team vocabulary because we are here to be of support to each other. The primary goal is to bring the best patient care and experience for our area's children.

SUMMARY:A strategic support role that enables CNO-level leadership to operate at full capacity across clinical operations, quality, regulatory compliance, and organizational initiatives. This is an exempt, salaried position.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serve as the primary point of support for the CNO, anticipating needs, managing day-to-day administrative demands, and ensuring the CNO can focus on high-priority leadership responsibilities.
  • Manage the CNO's calendar, correspondence, and communications — including drafting, editing, and routing emails, memoranda, letters, and reports with accuracy and professionalism.
  • Prepare materials for meetings, presentations, and leadership forums; attend meetings as requested, capture key decisions and action items, and ensure CNO-delegated follow-through is tracked and completed.
  • Coordinate logistics for CNO-led initiatives, committees, and organizational events, serving as an organized, reliable point of contact across departments.
  • Maintain organized systems for documentation, filing, and records management across CNO-owned functions.
  • Draft and assist with clinical policies and procedures as directed by the CNO, ensuring documents are accurate, professionally formatted, and aligned with organizational standards.
  • Assist with data collection and compilation related to clinical operations, patient experience, or quality — organizing and presenting information to support CNO decision-making.
  • Support audit preparation and regulatory readiness activities by gathering documentation, tracking outstanding items, and coordinating follow-up as directed.
  • Assist with special projects and CNO-driven initiatives as assigned, providing logistical and administrative support rather than independent project ownership.
  • Interface professionally with internal and external stakeholders — including leadership, clinical staff, physicians, families, and organizational partners — on behalf of the CNO.
  • Handle sensitive and confidential information with discretion at all times.
  • Performs other duties as assigned.

REQUIRED EDUCATION AND EXPERIENCE:

  • Previous healthcare or administrative experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to manage multiple tasks efficiently and effectively.
  • Ability to educate other healthcare professionals.
  • Ability to work in a multi-disciplinary team, ensuring that other departments and services are included in the healthcare plan.
  • Performs difficult and responsible administrative work using independent judgement.
  • General knowledge of quality management, clinic operations, and risk management.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

  • Frequently required to stand, walk, sit, bend, stoop, reach.
  • Frequently required to handle several face-to-face and telephone contacts daily.
  • Frequently required to utilize visual acuity to operate office equipment and use a keyboard.
  • Occasionally required to move items up to 15 pounds.
