Administrative Assistant Monday-Friday 9am-5pm

Position Summary
The Administrative Assistant serves as the first point of contact for clients and visitors while providing administrative, scheduling, and office support to ensure smooth daily operations and a professional environment.

Essential Duties

  • Greet clients and visitors and provide excellent customer service.
  • Answer phones, respond to inquiries, and schedule appointments.
  • Assist with client intake, forms, and record management.
  • Support billing, insurance verification, and payment collection as assigned.
  • Maintain client confidentiality and comply with HIPAA requirements.
  • Keep the office clean, organized, and professional in appearance.
  • Monitor and restock office, kitchen, and cleaning supplies.
  • Complete monthly Costco runs and other office-related errands.
  • Coordinate maintenance requests and report facility concerns.
  • Assist with the setup, attendance, and breakdown of agency booths at community events, health fairs, and outreach activities.
  • Provide administrative support to counselors and management.
  • Perform other duties as assigned.

Qualifications

  • Strong organizational, communication, and customer service skills.
  • Proficiency with computers, Microsoft Office, Google Workspace, and standard office equipment.
  • Ability to maintain confidentiality and manage multiple tasks independently.
  • Valid driver's license and reliable transportation for errands and community events.
  • Ability to lift and transport office supplies, display materials, and event equipment as needed.
