What You Can Expect
As a Complaints Specialist, you will be responsible for coordinating product complaints from initial receipt through to their documentation in the relevant software database. You will enter, collect, review, retrieve, and communicate complaint information in accordance with corporate and site-specific procedures. You will work closely with manufacturing sites and cross-functional teams to resolve process-related issues, build strong stakeholder relationships, and support continuous improvement initiatives. Through your proactive and customer-focused approach, you will contribute to achieving our goals of customer satisfaction, quality excellence, and operational compliance.
How You'll Create Impact
- Manage and coordinate product complaints from receipt through documentation and closure in relevant systems
- Serve as the main point of contact for complaint-related activities, ensuring timely follow-up with manufacturing sites, international teams, and third-party manufacturers.
- Review complaint records for completeness, accuracy, and compliance, updating or reopening cases when necessary.
- Escalate potential critical quality issues promptly to management and product manufacturers to support appropriate containment actions.
- Monitor complaint handling performance metrics and provide regular updates to site and divisional leadership.
- Identify and support continuous improvement opportunities for processes, tools, forms, and databases.
- Effectively manage shared complaint mailboxes and facilitate communication across global and cross-functional teams.
What Makes You Stand Out
- High School Diploma, University Degree, or equivalent qualification.
- Initial experience in customer service, administration, complaint handling, or a related support function.
- Experience within an industrial, manufacturing, medical device, or healthcare environment is an advantage.
- Fluent English skills, both written and verbal.
- Good working knowledge of standard IT applications.
- Ability to work independently, prioritize tasks, and maintain accuracy in a fast-paced environment.
- Strong communication skills with a collaborative and team-oriented mindset.
