Key Responsibilities

Order Processing (Primary Function)

  • Prepare and prioritize customer orders to ensure a continuous and balanced workflow for the Order Processing team.
  • Process customer orders accurately and efficiently in accordance with established procedures and service level agreements (SLAs).
  • Verify order information including product availability, pricing, customer details and shipping requirements prior to processing.
  • Monitor order queues and coordinate with Logistics to maintain smooth order flow throughout the day.
  • Update order status accurately within the Order Management System.
  • Identify and resolve routine order discrepancies, escalating complex issues where necessary.
  • Coordinate closely with Customer Service, Warehouse and Logistics to ensure timely order fulfilment.
  • Support inventory reconciliation and order verification activities where required.
  • Identify workflow bottlenecks and recommend process improvements to enhance operational efficiency.

Logistics & Warehouse Support (Secondary Function)

  • Prepare, pack and organise completed orders for dispatch.
  • Coordinate with external delivery providers and act as the point of contact for delivery-related matters.
  • Ensure special delivery requests and urgent deliveries are fulfilled accordingly.
  • Handle ad-hoc collection and delivery requests, including internal document runs and banking activities where required.
  • Support inbound warehouse activities by receiving and verifying incoming goods, reporting discrepancies and generating Goods Receipt documentation.
  • Support outbound shipment preparation, including packing, documentation and courier arrangements.
  • Ensure completeness and proper handover of dispatched jobs and supporting documentation.
  • Assist with retrieval of documents, signed invoices and other logistics-related administrative requests from internal stakeholders.
  • Support inventory movements and warehouse housekeeping activities where required.

Key Requirements

  • GCE 'O' / 'N' Levels, NITEC or ITE Certificate.
  • Diploma holders are welcome to apply.
  • 1–2 years of experience in order processing, warehouse operations, logistics or customer operations.
  • Experience in the ophthalmic or healthcare industry is advantageous but not essential.

Knowledge / Skills

  • Good organizational and time management skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Customer-focused mindset with a commitment to service excellence.
  • Effective communication and teamwork skills.
  • Basic analytical and problem-solving abilities.
  • Ability to work independently with minimal supervision.
  • Proficient in Microsoft Office applications.
  • Familiarity with ERP, Warehouse Management Systems (WMS) or Order Management Systems (OMS) is an advantage.
  • Adaptable and willing to learn new operational processes across multiple functions.
  • High customer orientation.
  • Good command of spoken and written English is a must
