The Executive Assistant provides high-level administrative, strategic, and operational support to senior leadership. This role manages complex calendars, coordinates domestic and international travel, and oversees expense processes. Beyond administrative tasks, the Executive Assistant acts as a strategic partner — supporting planning, driving key initiatives, coordinating cross-functional projects, and ensuring alignment across stakeholders. The role requires strong communication, sound judgment, and the ability to independently represent the executive in both internal and external engagements. The Executive Assistant is a central liaison, enhancing organizational efficiency through proactive problem‑solving and operational improvements while maintaining strict confidentiality.

Role Purpose:

The Management Support Executive supports the Deputy Managing Director in a multinational manufacturing environment. The role ensures management meetings are well-prepared, and action items are tracked systematically. Facilitates smooth information flow across sales, service, operations, and corporate functions. Supports leadership effectiveness through accurate reporting and coordination. Operates with integrity, professionalism, and discretion at all times.

Key Responsibilities

Executive & Leadership Support

  • Partner closely with the Deputy Managing Director to support day-to-day leadership activities within a precision manufacturing and engineering-driven business environment.
  • Coordinate executive schedules and meetings across functions such as sales, service, operations, finance, and engineering. Prepare high-quality meeting materials, presentations, and briefing packs to support informed discussions and decisions.
  • Maintain clear, well-organised records and documentation in line with corporate standards.

Meeting Excellence & Action Management

  • Orchestrate internal and external meetings, ensuring agendas, materials, and logistics are seamlessly managed.
  • Track actions arising from management, operations, and performance review meetings, ensuring follow-through and accountability.
  • Own the action-tracking process by following up with teams and Heads of Departments on agreed deliverables and timelines.
  • Provide concise status updates that keep leadership aligned and execution on track.

Business Insights & Reporting Support

  • Support the preparation of management reports and performance summaries for leadership review.
  • Assist in building and maintaining dashboards and visual reports (e.g. Power BI) that translate data into insights.
  • Consolidate inputs from different departments and ensure data accuracy and consistency.
  • Highlight trends, gaps, or follow-up items to support informed management discussions.
  • Ensure data accuracy and consistency, reflecting the precision expected in a machine tools and manufacturing environment.

Cross-Functional Coordination

  • Act as a coordination hub between the Corporate Management Office and internal departments.
  • Facilitate smooth information flow and timely responses across across departments supporting the full business lifecycle, including sales, service, operations, and support functions. Support routine management initiatives and follow-ups, helping teams stay aligned with priorities.

Professional Standards & Continuous Improvement Learning

  • Handle sensitive and confidential information with professionalism, discretion, and integrity.
  • Adhere to corporate governance, documentation, and compliance requirements.
  • Represent the Corporate Management Office with a polished and professional presence in all interactions internally & externally.
  • Build strong executive support and corporate management skills through hands-on exposure and continuous learning.

Requirements & Competencies

Education & Professional Background

  • Graduate degree in business administration, Management, Analytics, Communications, Hospitality, Human capital management, or a related discipline.
  • Additional certification such as Certified Administrative Professional (CAP) -IAAP, PDPA Certification are good to have but not compulsory.
  • 1–5 years of experience in senior executive support, corporate administrative and coordination, or corporate support roles.
  • Candidates with strong background in human capital, service, professional services, or corporate / family office backgrounds are highly desired.

Core Competencies & Skills

  • Proficient in Microsoft Office and digital workplace tools (Outlook, Teams, SharePoint, D365); exposure to Power BI, Workday, or other reporting/visualization platforms is a plus.
  • Strong written and verbal communication; able to summarize discussions, prepare reports, presentations, and meeting materials clearly and professionally.
  • Comfortable supporting senior leaders and engaging stakeholders across functions.
  • Interest or experience in management reporting, dashboards, and performance tracking; quick to learn new systems and workflows in a corporate environment.
  • Familiarity with tools such as Excel (pivot tables, basic formulas), PowerPoint, and reporting templates.
