Role Overview
The Invoicing & Artist Reporting Assistant is responsible for supporting the accurate and timely processing of sales invoices, artist reporting and cash receipts across the White Cube galleries. Working closely with sales, artist and finance teams, the role helps ensure the efficient operation of the Order-to-Cash process while maintaining strong financial controls and delivering a high standard of service to artists and clients.

Role Overview
The Invoicing & Artist Reporting Assistant is responsible for supporting the accurate and timely processing of sales invoices, artist reporting and cash receipts across the White Cube galleries. Working closely with sales, artist and finance teams, the role helps ensure the efficient operation of the Order-to-Cash process while maintaining strong financial controls and delivering a high standard of service to artists and clients.
Key Responsibilities
Sales Invoicing
- Monitor the shared mailbox, triaging requests and responding as appropriate
- Raise sales invoices in accordance with gallery policies and procedures ensuring they are sent accurately and within agreed service levels.
- Support the wider invoicing team with invoice amendments, credit notes and reissues.
- Ensure customer records and invoicing data remain accurate and up to date.
- Prepare and distribute sales invoices and supporting documentation to clients using approved secure communication methods, including Zivver.
- Escalate urgent or complex invoicing queries to senior team members.
- Raise payments related to consignment agreements as required
Cash Receipts
- Support the allocation and posting of customer receipts across multiple currencies.
- Assist with identifying incoming customer payments and matching them to outstanding invoices.
- Investigate unidentified receipts and work with sales teams to resolve discrepancies.
- Support bank reconciliations and cash receipt reporting as required.
Artist Reporting
- Support ad hoc analysis and reporting relating to artist accounts.
- Support payments to artists
Ad hoc
- Support month-end activities and reconciliations as required.
- Assist with process improvement initiatives and documentation updates.
Skills & Experience
Essential
- Previous experience in an administrative, finance or accounting support role.
- Strong attention to detail and high levels of accuracy.
- Good organisational and time management skills.
- Competent in Microsoft Excel.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Positive, collaborative approach to working with colleagues and stakeholders.
Desirable
- Exposure to artist accounting, commissions or gallery operations.
- Experience using Sage Intacct or similar finance systems.
- Experience working with multiple currencies.
