The Parts Specialist is responsible for supporting inventory management, returns processing, core inspection, customer support, and material flow activities within the Parts Department. This position plays a key role in supporting the department's commitment to delivering the right part, to the right place, at the right time by ensuring inventory transactions, material movement, and customer requirements are processed accurately, efficiently, and safely.

Safety is a core expectation of this position. The successful candidate will consistently demonstrate safe work practices, follow established procedures, identify potential hazards, and actively contribute to maintaining a safe work environment.

This role requires strong attention to detail, ownership of assigned responsibilities, initiative, and the ability to manage multiple priorities. The successful candidate must work effectively both independently and as part of a team while supporting continuous improvement efforts throughout the department.

Duties and Responsibilities

  • Perform core inspection and processing activities.
  • Process warranty, return, credit, transfer, and inventory transactions accurately and timely.
  • Support inventory control efforts through audits, reconciliations, record maintenance, and corrective actions.
  • Assist with inventory reduction initiatives, excess inventory management, and Blue DOT surplus return processing.
  • Stage material for outbound shipments, transfers, customer pickups, and other inventory movement activities.
  • Create and maintain Advance Shipping Notices (ASN) and other supporting documentation.
  • Process returns counter transactions and branch-to-branch transfers.
  • Coordinate material movement, inventory transactions, and inventory accuracy initiatives while partnering with the Optimization Team and other business partners.
  • Communicate effectively with customers, technicians, branch personnel, vendors, and internal departments through phone, email, Teams, and other communication methods.
  • Investigate inventory discrepancies, transaction issues, and customer concerns while driving timely resolution.
  • Support loading and unloading activities related to customer and technician pickups and deliveries.
  • Participate in continuous improvement initiatives that support Safety, Quality, Delivery, and Cost objectives.

Qualifications

  • Demonstrated commitment to safety and maintaining a safe work environment.
  • Strong understanding of parts operations, inventory control, material flow, and warehouse processes.
  • Experience working with inventory transactions, returns, transfers, credits, warranty processing, core operations, or related parts functions.
  • Working proficiency in DBS, WMS, K-Track, and Parts Viz is strongly preferred.
  • Strong computer skills including Microsoft Outlook, Excel, Teams, and other business applications.
  • Ability to investigate and resolve inventory discrepancies, transaction issues, and customer concerns.
  • Strong organizational skills and attention to detail.
  • Effective verbal and written communication skills.
  • Ability to manage multiple priorities while maintaining a high level of accuracy.
  • Ability to work independently with limited supervision while delivering consistent results.
  • Ability to build productive working relationships with technicians, customers, branch personnel, and internal business partners.
  • Demonstrated initiative, ownership, accountability, and commitment to continuous improvement.
  • Understanding of the importance of inventory accuracy, material flow, and customer support in delivering the right part, to the right place, at the right time.
  • Ability to adapt to changing priorities and support the needs of the business.
  • Previous experience in Parts Operations, Inventory Control, Returns Processing, Core Inspection, PUDO Operations, or other related parts functions is strongly preferred.
