As part of our R&D organization in Darmstadt, we are looking for an Executive Operations & Process Specialist (m/w/d) who combines strong organizational excellence, digital mindset and process orientation to support and continuously improve administrative, operational and cross-functional workflows.
THE ROLE
In this role, you will independently manage and coordinate complex administrative, organizational and process-related activities for the R&D organization. You will act as a key interface between R&D Leadership, Finance, Procurement, HR, IT and external partners, ensuring smooth operations, reliable reporting and continuous process improvements. A strong focus of the role is the further digitalization, automation and agentification of recurring processes to increase efficiency, transparency and process reliability.
KEY RESPONSIBILITIES
- Independently manage and coordinate complex administrative and organizational processes within the R&D area.
- Prepare and follow up on meetings, workshops and events, including tracking agreed actions and deliverables.
- Drive SAP-based procurement and operational processes, clarify complex issues and follow up on critical items.
- Collaborate closely with Finance, Procurement and other stakeholders to ensure compliant, timely and efficient workflows.
- Create, analyze and further develop budget overviews, OPEX reports and decision-relevant reporting formats.
- Analyze existing processes and develop sustainable improvement measures, templates, standards and documentation.
- Actively contribute to digital, automated and cross-functional process solutions, including the use of Copilot, vibecoding programs and agent builders.
- Support users in administrative systems and tools and develop pragmatic solutions for process- and system-related questions.
QUALIFICATIONS
- Completed degree in business administration or equivalent knowledge and skills gained through relevant training and several years of professional experience.
- Relevant experience in complex commercial, administrative or process-related roles with a high degree of independence and interface responsibility.
- Very good MS Office skills, especially Excel and PowerPoint; experience with SAP and administrative systems is required.
- Good knowledge of digital tools such as Copilot, vibecoding programs or agent builders in Foundry is an advantage.
- Strong analytical and process-oriented mindset with the ability to identify improvement potential and implement practical solutions.
- Excellent organizational skills, high level of discretion, reliability and sense of responsibility.
- Strong communication skills in German and English.
