I. Job Summary

The Purchasing Coordinator supports the procurement function within a manufacturing environment by ensuring the timely and cost-effective acquisition of materials, supplies, and services. This role is responsible for processing purchase orders, maintaining vendor relationships, tracking deliveries, and supporting inventory and production needs to ensure uninterrupted operations.

Pay range: $30.00 - $32.50 (Based on experience)

II. Essential Duties and Responsibilities

  • Create, process, and track purchase orders in alignment with production schedules and inventory requirements

  • Communicate with vendors to obtain quotes, confirm pricing, lead times, and delivery schedules

  • Monitor order status and proactively follow up on delayed or back-ordered items

  • Maintain accurate purchasing data in ERP systems

  • Collaborate with production, planning, and inventory teams to ensure material availability

  • Resolve discrepancies related to invoices, shipments, and receiving issues by obtaining POD’s as required or requesting credit and rebills for incorrect pricing.

  • Monitor and maintain supplier records, primary suppliers, and lead time in the ERP system.

  • Ensure compliance with company policies and procurement procedures

  • Work with Accounts Payable to resolve any vendor invoice related discrepancies.

  • Maintain good vendor relationships through professional communications

  • Maintain documentation and records for audit and reporting purposes

  • Other applicable duties as assigned

III. Qualifications

The requirements listed below are representative of the qualifications necessary to perform the job.

  • 2+ years of purchasing, procurement, or supply chain experience (manufacturing environment strongly preferred)

  • Experience with ERP/MRP systems (e.g., Microsoft Dynamics D365 preferred, SAP, Oracle, JD Edwards, etc.)

  • Strong organizational and time management skills

  • Excellent communication and vendor management skills

  • Proficiency in Microsoft Office

  • Ability to work in a fast-paced, deadline-driven environment

B. Other Knowledge, Skills or Abilities Required

  • Understanding of inventory control and production planning concepts

  • Basic negotiation skills

  • Analytical mindset with attention to detail

  • Ability to prioritize and manage multiple tasks

C. Travel

  • No travel required.

IV. Physical and Work Environment Description

  • Office environment within a manufacturing facility

  • May require occasional time on the production floor

  • Standard business hours with occasional overtime as needed
