We are currently seeking qualified candidates for the following position:

Position: Special Events Associate (Hybrid)

 

Reporting to the Manager, Special Events, the Associate of Special Events is responsible for assisting with the coordination, planning, and execution of a diverse range of internal and external facing events. This role will also assist in securing and managing in-kind donations from corporate and community partners to advance organizational and programmatic goals.

 

This position requires a dynamic, detail-oriented individual with strong project management skills, a passion for the nonprofit sector, and the ability to cultivate relationships with internal staff across VOA-GNY’s various program sites as well as external partners. The Associate will play a key role in ensuring events are executed efficiently, contribute to engagement objectives, and reflect the values of VOA-GNY.

Minimum Qualifications:

  • Bachelor’s Degree required with 2+ years of professional experience in event planning, fundraising operations, project management or in a related capacity; familiarity with the nonprofit sector a plus. 
  • Flexibility, creativity, and the ability to multitask. 
  • Experience with Raiser’s Edge, or other donor databases.
  • Capable of building relationships with donors, volunteers, and program teams. 

 

Special Events Associate Principal Responsibilities:

  • The Associate will assist with the Annual Gala, Shared Value Awards (employee celebrations and recognition), monthly employee engagement events, Board of Directors Holiday Party, Annual Domestic Violence Symposium, and other policy conferences or development events.
  • Support the preparation of event materials including briefing documents for distribution, and fact sheets for Executive Leadership.
  • Assist with venue research, selection, and coordination for large-and small-scale events throughout the year for employee engagement opportunities, sporting events, volunteer initiatives, and donor cultivation events. Communicate with vendors, venues, and volunteers as needed.
  • Maintain accurate attendee records, RSVP tracking, and post-event data collection for reporting.
  • Process event-related invoices and billing for venues, catering, décor, and other event vendors. Contract administration post-event to ensure timely reconciliation efforts.
  • Organized coordination of donation pick-ups and deliveries, ensuring the efficient use of resources across program sites. 
  • Provide on-site event support, including occasional evenings and weekends as needed.
  • Perform other related duties as requested.
