Service Support Senior Coordinator – Projects Location & Role

  • Location: Mumbai, India | Job Type: Full-Time (Office) | Department: Service Operations

Experience

  • 2–5 years of experience in project coordination, service operations, or HVAC/data centre projects
  • Experience in managing project documentation lifecycle (L2 to L4, SAT, ISAT, and HOTO) for large-scale projects

Job Summary

  • Support the Liquid Cooling project team in preparation, coordination, and delivery of L2 to ISAT documentation and HOTO activities for COLO hyperscale sites in Mumbai, ensuring timely execution, compliance, and customer satisfaction

Key Responsibilities Project Coordination

  • Coordinate with engineering, site teams, and vendors for project execution activities
  • Track project progress, timelines, and deliverables across multiple sites
  • Support manpower planning, material readiness, and execution coordination
  • Ensure effective communication across cross-functional teams

Documentation Management (Core Responsibility)

  • Coordinate preparation of L2 to L4, SAT, ISAT documentation and HOTO handover packages
  • Maintain document registers, trackers, and submission schedules
  • Track document status and ensure timely submission and approvals
  • Validate completeness and accuracy of documentation as per project requirements
  • Ensure document version control, traceability, and audit readiness

Handover & Compliance

  • Coordinate preparation of final handover documentation including drawings, test reports, and commissioning records
  • Support smooth HOTO execution with complete documentation and approvals
  • Ensure compliance with customer specifications and company standards

Service Support & Operations

  • Support preventive maintenance planning and service coordination activities
  • Track service requests, SLA adherence, and escalation closures
  • Assist in implementation of service bulletins and corrective actions

Reporting & Tracking

  • Prepare MOMs, action trackers, and project status reports
  • Monitor pending actions and follow up for timely closure
  • Provide regular updates to management and project stakeholders

Customer & Stakeholder Coordination

  • Act as point of contact for documentation-related customer interactions
  • Support customer submissions, review comments, and approval tracking
  • Coordinate with internal teams and vendors for issue resolution

Preferred Criteria

  • Diploma or Bachelor’s Degree
  • Strong proficiency in MS Excel, documentation tools, and reporting systems
  • Good coordination, communication, and organizational skills
  • Experience in project documentation control and audit compliance
