Vault 44.01 (“Vault”) is a leading carbon capture & storage (“CCS”) developer focused on the development, capitalization, and operation of carbon storage assets throughout North America. Vault’s team brings over 90 years of direct carbon storage experience, with involvement in the development of carbon storage projects across North America since 2007.

Vault’s capabilities span technical analysis, project design, permitting, stakeholder engagement, land leasing and acquisition, facility construction, and operations. In collaboration with our industrial partners, we are currently developing CCS projects in the US Midwest, US Southeast, and Canada, focusing on single CO2 source, near-site sequestration projects and including 7 projects currently under contract.

Vault has secured a US$300 million equity capital commitment from Grey Rock Investment Partners (Dallas, TX-based private equity company) and has offices in Denver, CO and Calgary, AB.

Opportunity:

Vault is seeking a highly organized, proactive, and professional Executive Assistant to the CEO to provide administrative and operational support to our CEO and team. This is a dynamic role for someone who enjoys variety, takes initiative, and thrives in a fast-paced environment. The successful candidate will play an important part in keeping the office running smoothly, supporting executive priorities, coordinating meetings and schedules, and acting as a trusted point of contact for staff, partners, vendors, and partners. Vault supports a flexible hybrid work environment with a mix of in-person collaboration and remote work. Emphasis is placed on producing high-quality work and meeting deadlines, not necessarily where or when hours are worked.

Specific responsibilities include, but are not limited to, the following:

  • Support the CEO and leadership team with planning, logistics, and scheduling of events, strategic meetings, off-sites, and agendas.
  • Must be highly skilled in booking travel and managing fast-paced, ever-changing schedules to support business priorities.
  • Responsible for the timely and accurate submission of expenses on behalf of executives.
  • Uses strong judgment and initiative to anticipate needs, manage competing priorities, and support executive productivity.
  • Plan and coordinate company events, leadership off-sites, investor meetings, partner visits, and executive gatherings.
  • Serve as a point of contact for employees regarding office needs, supplies, logistics, and administrative support.
  • Track administrative deadlines, renewals, subscriptions, contracts, and office-related expenses.
  • Order, track, and maintain office supplies, equipment, snacks, and other workplace necessities.
  • Coordinate repairs, maintenance requests, IT support needs, and office equipment service.
  • Business card and other marketing material ordering and organization.
  • Liaise with building management, IT, finance, HR, legal, and other departments to support executive operations.
  • Point of contact for the building, including submitting permits and guests into the system.
  • Responsible for updating various administrative documents and systems
  • Facilitate office moves and management of Calgary, and support for the Denver office

Skills and Qualifications:

  • Have 5-10 years of experience providing dedicated support to a CEO or senior-level executive, ideally in a fast-paced, small to mid-sized organization where the EA role is hands-on and highly involved.
  • Ability to operate with the highest level of integrity, discretion, and professionalism, particularly when handling sensitive or confidential information.
  • Experience managing office operations, vendors, supplies, and facilities coordination.
  • Exceptional customer service skills, with strong written and oral communication abilities and a responsive, professional approach.
  • Strong interpersonal skills and the ability to interact professionally with executives, staff, partners, and vendors.
  • Self-motivated, proactive, dependable, and able to work independently.
  • Impressive MS Office skills with Word, Excel, PowerPoint, Outlook, and Adobe, along with familiarity with BambooHR
  • Advanced digital literacy and experience with AI
