EXECUTIVE ASSISTANT


The Utah Governor’s Office of Planning and Budget seeks a talented Executive Assistant to support its Executive Director. This role will involve administrative support to the Executive Director and assist with the coordination between the Executive Team and external partners, ensuring smooth operations and efficient execution of tasks and projects.

The Executive Assistant will work primarily at our office at the Utah State Capitol located in downtown Salt Lake City, with occasional remote work opportunities depending on the team’s needs and commitments.

POSITION DETAILS & COMMITMENT

  • F/T or P/T – Full Time with Benefits
  • Salary – $27.00 - $45.00/hr
  • Schedule Code – AC - Employees in Offices of Elected Officials
  • Background Check Required – You must successfully pass a criminal history check.

KEY RESPONSIBILITIES

  • Administrative Support — Provide general administrative support, including calendar management, meeting scheduling, travel arrangements, and financial reimbursements. They will also support in-person and virtual meetings and events
  • Financial Coordination — Receive and process requests for payment to partner entities, including gathering approvals, coding, and submitting invoices to the finance team for processing. Also responsible for managing a purchasing card and following all purchasing and finance rules to assist the director with financial needs
  • Team Coordination — Assist the executive team in coordinating meetings, creating agendas, taking minutes, noting follow-up and to-do items, and covering other duties as assigned
  • Travel Management — Be a member of the travel coordination team by training and supporting team travel coordinators, handling executive travel authorizations, reimbursements, and group gatherings
  • Relationship Building — Foster relationships with other GOPB teams, state agencies, business and community partners
  • General Office Support — Coordinate with the other office admins to support office-wide events, inventory management, state surplus, and any projects that require additional support

IDEAL QUALIFICATIONS

  • At least two years of professional or similar office experience
  • Flexibility and adaptability in a fast-paced environment
  • Strong verbal and written communication skills
  • Proficiency in Google Apps and Microsoft Office Suite
  • Event management experience preferred
  • Experience with Google Calendar, Google Meet, and Zoom
  • Ability to be a quick study using internal systems, including Salesforce, Concur, and Vantage
  • Strong attention to detail
  • Excellent time management, organizational, prioritization, and multitasking skills
  • Friendly and collaborative personality
