JOB TITLE: Volunteer, Multilateral Engagement

SUPERVISOR: Head of Community Development in the Logistics and Telecommunication Cluster

DURATION: 6 months

BACKGROUND AND PURPOSE OF THE ASSIGNMENT

The Logistics and Telecommunications Cluster is a global coordination mechanisms activated to support humanitarian response operations by strengthening logistics, information management, connectivity, and common service delivery for the wider humanitarian community. Under the leadership of WFP as global lead agency, the cluster work with governments, UN agencies, NGOs, the Red Cross/Red Crescent Movement, and other operational partners to improve preparedness, coordination, and response capacity before and during emergencies.

The Community Development workstream supports this objective by designing, coordinating, and delivering learning initiatives, simulation exercises, and capacity-strengthening activities for cluster partners and other humanitarian stakeholders. These activities help build common understanding of cluster coordination, operational readiness, inter-agency collaboration, and practical response tools. The workstream also plays an important role in maintaining partner engagement, supporting communities of practice, and ensuring that training activities are relevant, well-organized, and responsive to operational needs.

Based in Rome, the intern will support the Community Development workstream in the planning and delivery of LTC training activities. The role will contribute to the smooth organization of learning events by supporting partner communication, participant coordination, administrative processes, documentation, scheduling, and logistical arrangements. The intern will also assist with maintaining training records, preparing materials, supporting event follow-up, and helping ensure that all required processes are in place before, during, and after each activity.

The assignment is intended to provide practical exposure to humanitarian coordination, partner engagement, training delivery, and event management within a global operational environment. Through this role, the intern will contribute to strengthening the quality and efficiency of cluster learning activities while gaining hands-on experience in humanitarian logistics, emergency telecommunications coordination, and inter-agency capacity development

DUTY AND RESPONSIBILITIES

  • Support the planning, organization and delivery of Logistics Cluster and Emergency Telecommunications Cluster training activities, simulation exercises, workshops and other learning events under the Community Development workstream.

  • Assist with participant coordination, including invitations, registration, attendance tracking, communication with participants, and follow-up before, during and after training events.

  • Support engagement with partners, including UN agencies, NGOs, government counterparts, the Red Cross/Red Crescent Movement and other humanitarian stakeholders involved in cluster learning activities.

  • Support administrative processes including filing of travel-related documentation, venue arrangements, procurement requests, vendor liaison, participant lists, certificates and other event-related requirements.

  • Assist in preparing, formatting, printing, organizing and updating training materials, facilitation tools, presentations, agendas, participant packs and event documentation.

  • Maintain accurate training records, partner contact lists, participant databases, feedback forms, evaluation summaries and other knowledge management products related to Community Development activities.

  • Support the collection and analysis of training feedback and contribute to the preparation of short reports, presentations, updates and briefing notes on learning activities and partner engagement.

  • Provide on-site and remote support during training events, including room set-up, participant reception, documentation, note-taking, troubleshooting and coordination with facilitators and service providers.

  • Contribute to the continuous improvement of training processes, tools and templates by identifying practical ways to improve organization, communication, follow-up and knowledge sharing.

  • Perform any other duties as required in support of the Community Development workstream and the Logistics and Telecommunications Cluster.

EXPECTED OUTCOMES

Training activities, workshops and simulation exercises supported by the Community Development workstream are well organized, with timely administrative follow-up, clear participant communication, complete documentation and effective coordination with partners, facilitators and service providers.

Partner engagement around Logistics and Telecommunications Cluster learning activities is strengthened through updated contact lists, organized communication, consistent follow-up and improved visibility of training opportunities and requirements.

Training records, participant data, feedback summaries, event materials and knowledge management products are maintained accurately and made available to support reporting, planning and continuous improvement of Community Development activities.

The volunteer gains practical experience in humanitarian coordination, training delivery, event management, partner engagement and the administrative processes required to support global learning initiatives in an operational humanitarian environment.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education

A minimum level of a Bachelors education would be an asset

Experience

Previous exposure to multilateral, national government, or NGO policy development would be an asset; Previous international education and/or work experience would be an asset

Previous experience in Brief and/or communications preparation would be an asset

Knowledge & Skills

Has a basic understanding of adult learning principles

Has developed skills in events organiztions

Has motivated team spirit and contributed to a gender-balanced, inclusive and sound working environment.

Languages

Be fluent in English. Competency in other WFP official and working languages is an asset
