ORGANIZATIONAL CONTEXT:
United Nations World Food Programme (WFP) is the world's largest humanitarian organization addressing hunger and food insecurity. Yemen remains one of WFP’s most complex operating environments, with significant humanitarian needs and a challenging logistics context. WFP logistics operations play a critical role in enabling the delivery of assistance across various areas in the country and supporting the wider humanitarian response.
BACKGROUND AND PURPOSE OF THE APPOINTMENT:
The incumbent will work under the Funds Management function within the Supply Chain Unit and will implement well-defined standard supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities. The incumbent is expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities for both WFP and logistics common services. The job holder is able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.
ACCOUNTABILITIES/RESPONSIBILITIES:
Provide support to supply chain operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.
Respond to a variety of technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of client service mind-set.
Contribute to budget preparation, monitoring, and revision for all delivery modalities, ensuring adherence to relevant procedures and in compliance with corporate standards.
Process documentation for execution of logistics operations, take appropriate actions to resolve operational issues escalating various issues to the supervisor.
Collect and compile data, produce and/or contribute to reports (e.g. Risk Committee Reports, financial closure, transport performance) and ensure information accuracy in corporate systems in support to informed decision-making.
Liaise with internal and limited number of external stakeholders to support efficient logistics operations management.
Provide guidance to other support staff, in order to assist them in completing standard tasks to agreed standards and deadlines.
Create and maintain entries in WFP’s corporate systems, ensuring data matches contractual obligations and goods and service delivery confirmation.
Ensure service providers submit their claims in a timely manner according to WFP corporate supply chain standards.
Ensuring proper filing of invoices, contracts, and correspondences related to Supply Chain funds management and invoice processing.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
Experience:
Required: Minimum 5 years of experience, composed of a minimum of 3 years in the field of the position and 2 years in in the use of supply chain information systems, including Enterprise Resource Planning (ERP) applications.
Desirable: Experience in contract execution.
Languages: English-Arabic
