The University of Maryland, Baltimore (UMB), Office of Philanthropy, Foundation Board Relations is recruiting a Senior Philanthropy Operations Specialist.

This position is part of the University of Maryland Baltimore Foundation (UMBF) operational team and will support the Foundation’s Gift Administration function. In addition to gift processing and related operational responsibilities, the position will serve as a strong functional user of the Foundation’s donor CRM, developing a thorough understanding of the system and helping identify opportunities to improve its use, workflows, reporting and functionality.

Primary Duties:

  • Provide day-to-day support for gift processing and reporting functions, including processing gifts and pledges directly in the donor CRM, reconciliation of bank deposits, gift receipting, and related Gift Administration activities, particularly during peak periods such as calendar and fiscal year-end. Ensure the accuracy of the donor database through consistent input, maintenance and review. Develop strong functional knowledge of donor CRM and gift-processing functionality, using that knowledge to troubleshoot functional issues, support effective use of the system, and identify opportunities for improvement. 

  • Draft Memoranda of Understanding (MOU) and submit for appropriate review; track MOU status and monitor progress to completion.

  • Prepare and distribute donor communications and ensure delivery to donors in a timely manner.

  • Provide information to and develop relationships with campus Philanthropy offices to facilitate and communicate gift administration policies and procedures.

  • Review policies, procedures, and workflows to ensure compliance and efficiency. Identify and recommend improvements to gift administration process and the functional use of the donor CRM and assist with implementing approved process and system enhancements.

  • Prepare daily bank deposit ensuring accuracy of data provided to Finance for posting and check transmittal to bank.
    Clarify, implement, monitor, and honor donors¿ intent and instructions, and ensure allocations are accurately documented in the donor records. Follow-up with donors and Philanthropy staff with information about gifts.

  • Create and compile routine fundraising and campaign reports and create ad hoc reports as needed by management.

  • Performs other duties as assigned.



Education: Bachelor's degree.

Experience: Four (4) years of progressively building a background in the various philanthropic functions, including at least two (2) years in data maintenance, donor support and stewardship, gift administration, or advancement services.

Other: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 undergraduate college credits being equivalent to one year of related experience. In instances where specific education and/or experience is required only directly related education and/or experience may be substituted.

Hiring Range: $75,000 - $83,000, Commensurate with education and experience
