The University of Maryland, Baltimore (UMB), School of Nursing (SON) has an exciting opportunity for an Academic Support Services Specialist. 

The Office of the Academic Deans (OAD) drives the academic mission of the school by coordinating all programs in the school including the BSN, RN-to-BSN, MSN, DNP and PhD programs. The Academic Support Services Specialist is responsible for providing primary support to the PhD program and secondary support to other programs in the Office of the Academic Deans. The Academic Support Services Specialist works independently, contributes to the development and evaluation of program goals and objectives, and resolves issues and significant matters by utilizing independent judgment, discretion, creativity, and analytical thinking.

The Office of the Academic Deans collaborates with SON, The Graduate School, and UMB departments, providing a critical support structure for all students in the school. The academic affairs managed by OAD include curriculum development and implementation, coordination of admissions processes and support, ensuring the integrity of each student's academic experience to include monitoring student progress, assisting with securing financial support, translating policies and procedures and supporting the academic deans, all related to student success.

Essential Functions:

  • Assist the Associate Dean for the PhD Program in the management of the PhD program, including supporting students and faculty members.

  • Contribute to completing assignments and projects that require monitoring and evaluation.

  • Provide suggestions and solutions to issues outside of pre­ established guidelines or processes.

  • Under the guidance from the Associate Dean, oversee daily operations, organize program activities, and help set priorities.

  • Monitor and facilitate use of program funds to support needed resources.

  • Collaborate with the UMB School of Graduate Studies (SGS) and UMSON Admissions and Registrar’s Offices to manage the SON PhD students’ admissions, academic progression, and graduation requirements.

  • Make recommendations to the PhD Academic Dean in use of funds.

  • Provide routine and non-routine technical support and advice, problem solving assistance, and answer questions from students and faculty members.

  • Interpret program goals and policies and provide administrative support.

  • Assist in conceptualization, development, and preparation of written products such as training materials, website content, final progress reports, and promotional materials.

  • Recommend resources for the improvement of the program.

  • Prepare and analyze program financial statements, expenditures, and budgets for management or outside agencies.

  •  Assist in the development and implementation of recruiting plans for program participants, members, and volunteers.

  • Develop and facilitate workshops or meetings, coordinate logistics, scheduling, and participant communications.

  • Assist in evaluating program effectiveness to develop improved methods; devise evaluation methodology and implements; analyze results and recommend and/or take appropriate action.

  • Has the authority to formulate, affect, interpret, or implement policies or procedures to ensure effective operation of the program.

  • Use up-to-date and comprehensive searching techniques to conduct online searches, and other research tasks to address complex and unique information requests.

  • Develop and maintain internet web site files and/or listings.

  • Interact and maintain liaison with students, faculty, staff and outside/community agencies in facilitating program objectives.

  • Effectively manage electronic file records of students’ progression and other program-associated files using academic applications used by UMSON and UMB SGS.

  • Proficient in utilizing Microsoft Office Suite, including Outlook, Word, Excel, Teams, and Planner.

  • Serve as a primary contact and think critically about all aspects of the program to resolve questions and make decisions related to the program.

  • Prepare or assist in preparation of funding grant proposal and/or funding continuation from outside sponsors for program. Provide cross-coverage for the other OAD programs.

  • Perform other duties as assigned.



Education: Bachelor's degree.

Experience: Two (2) years of administration of a program, preferably in higher education or healthcare setting. Coordination experience.

Other: Ability to prepare financial statements and budgets. May consider a combination of directly related experience and education. Clery act designated job as campus security authorities (CSA) member and will comply with Clery Act requirements.

Hiring Range:  $61,786 - $61,978; Commensurate with education and experience.
