Under general supervision, independently coordinates the operational tasks involved in the day to day administration of one or more major academic program such as Faculty Promotion and Tenure, Residency Recruitment and Training, Continuing Education, Professional Development, and Admission and Registration.

Primary Duties

  • Responds to Tier I/Tier II type questions for the Academic Operations from all sources (CRM, telephone, e-mail, chats, walk-in, etc). Makes appropriate referrals to other team members or departments via the CRM and phones. Work with the Service Center.

  • Record reconstruction.

  • Assess Bowie University undergraduate and graduate records to ensure all UMGC coursework appears

  • on a Bowie transcript.

  • Handle sensitive and confidential information with tact and discretion.

  • Scanning, screening and data entering official transcripts and other academic documents.

  • Scan all incoming documents into Document Management System and updating students’ records appropriately within the SIS

  • Assist with other manual data entry processes such as test scores, professional certifications, international evaluation credits and military credits

  • Supports management team with various duties including special projects, memo creation, spreadsheet and

  • tracking systems, data clean up.

  • Locate archived files/documents for stateside, Asia and Europe and scan into DMS.

  • Opens, sorts and processes incoming mail in accordance with transcript and document business process and delivers mail to the appropriate party/team. Research and respond to internal and external customer inquiries via phone or email/ CRM cases, chat or other avenues of established student communication

  • Provide course descriptions, when requested by representatives from colleges and universities.

  • Perform other duties as assigned to support the mission of the University

Required Qualifications:

  • Bachelor's degree

  • One year experience in administrative staff work.

  • General knowledge of business English, spelling, and grammar. General knowledge of and skill in the use of word processing, database, and spreadsheet software to produce documents and maintain information. Skill in performing basic mathematical computations. Ability to present statistical material in table, chart, or graph form. Ability to plan, organize, and prioritize multiple tasks and assignments. Ability to handle confidential and sensitive matters with tact and discretion. Ability to communicate effectively orally and in writing. Ability to understand and follow oral and written instructions. Ability to establish and maintain effective working relationships. Ability to operate computers and other office equipment. Ability to train, supervise, and evaluate personnel.

  • Generous Time Off: Enjoy 14 days of paid vacation, 15 days of sick leave, 3 personal days, and 16 paid holidays (17 during general election years). Time off rates will be prorated based on the number of hours worked.

  • Comprehensive Health Coverage: Access to health care, medical with vision, dental, and prescription plans for both individuals and families, effective from the 1st of the month following your hire date. Contingent II employees who work on average 30 or more hours per week (130 hours per month) are eligible for subsidized state of Maryland medical and prescription benefits. Contingent II employees who work on average less than 30 hours per week but at least 20 hours per week are eligible for a stipend to assist in the purchase of a health plan.

  • Insurance Options: Term Life Insurance, Accidental Death and Dismemberment Insurance, and Long-Term Disability (LTD) Insurance. NOTE: CII Part-time employees working less than 0.5 FTE are not eligible for LTD.

  • Retirement Stipend: Contingent II employees receive a retirement stipend equal to 7.25 percent of their base salary and are eligible to contribute to a supplemental retirement account (SRA).

  • Supplemental Retirement Plans: include 401(k), 403(b), 457(b), and various Roth options. The university does not provide subsidies or matching funds.

  • Tuition Remission: CII employees are eligible immediately for Tuition Remission at UMGC or at University of Maryland College Park. Spouses and dependent children are eligible for undergraduate tuition remission after two years of service. NOTE: For part-time employees (at least 50 percent of the time), tuition remission benefits are prorated.
