JOB SUMMARY:

Responsible for handling administrative and clerical responsibilities for the Warehouse and Shared Services teams at Universal Kids Resort (UKR) with a focus on verifying orders for Food & Beverage and Merchandise are delivered in a timely and cost-efficient manner. Manages the flow of shipment into warehouses, generates reports to review outstanding orders, contacts freight companies to reduce delays and monitor preferred rates and provides reports to management on vendor performance. Supports team with relevant data input and documentation as needed including but not limited to service calls, shipping records, pricing, menus, inspections and nutritional data.

JOB RESPONSIBILITIES:

  • Interacts with internal Guests and 3rd party vendors. Answers and directs all phone calls for the Warehouse and Shared Services team. Acts as a liaison with 3rd party vendors to report issues and maintenance needs for equipment. Handles visitor badge requests and parking information for 3rd party vendors and repair technicians.
  • Coordinates Service Calls for onsite and offsite storage requests plus requests for 3rd party vendors for all UKR Merchandise and Food Service locations as well as logging and tracking all service calls. Troubleshoots emergency requests from the field operators, including but not limited to those related to equipment, digital menu boards, and CO2 containers. Coordinates, with Universal Destinations & Experiences (UDX) Nutritionist, special requests from Guests regarding special dietary needs via the email link on UKR website. Records and tracks all Health Department inspections.
  • Coordinates vendor delivery dates to ensure scheduled timetables and planned deliveries are met to help manage volume and workload of receiving dock while also ensuring all seasonal (time sensitive) shipments are prioritized. Responsible for freight routing including identifying appropriate carriers taking into account type of goods, cost, time, and security.
  • Supports Shared Services with JDA system and Eatec changes, POS requests, pricing updates, seasonal recipe changes, menu updates and signage coordination. Creates presentations and materials for special projects using MS PowerPoint, Publisher and other programs. Communicates needs for menu updates for all restaurants and inputs as needed.
  • Audits and approves logistics invoices for payment. Sources and orders special requests in partnership with UKR Sourcing. Updates department dashboards, royalty reports, freight logs, and weekly bid pricing. Provides reports to management to show carrier metrics and maintains shipping records.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UDX policy, procedures, training, and team member involvement activities.
  • Perform other duties as assigned.

EDUCATION:

  • High School Diploma or GED is required.

EXPERIENCE:

  • 1+ years of administrative/clerical, inventory or warehouse experience required; or equivalent combination of education and experience.
