The Office Coordinator supports the Nutrition Services Department by managing administrative workflows, maintaining departmental records, and ensuring efficient day-to-day operations. This role performs a broad range of clerical functions, including data entry, invoice processing, phone support, and database maintenance, to support the Director of Nutrition Services, Dietitians, and Food Production leadership. Working closely with departmental staff, the Office Coordinator helps uphold service quality through accurate documentation, timely communication, and well-organized administrative systems that support patient meal services and overall department operations. This position functions within a collaborative, service-oriented team environment and may also provide occasional support for room service and point-of-sale processes to help maintain seamless service delivery.

Key Responsibilities

Perform administrative duties such as typing, filing, answering phones, processing invoices, and managing departmental correspondence.
Maintain and update databases, records, and reports related to point-of-sale systems, room service operations, and departmental statistics.
Coordinate supply ordering and inventory tracking to ensure adequate materials and operational readiness for Nutrition Services.
Assist the Director of Nutrition Services, Dietitians, and Food Production Manager with project coordination, data compilation, and departmental initiatives.
Handle cash or financial transactions accurately and in accordance with established procedures.
Provide exceptional customer service to internal and external stakeholders through clear communication and timely follow-up.

Educational Requirements

Some college preferred

Experience Requirements

1 year secretarial experience required
Excellent math skills
Computer competency required
Excellent verbal and written communication skills
Medical office experience preferred

Special Skills or Training Requirements

Excellent customer service skills
Ability to prioritize job duties to assure completeness
Must have excellent telephone skills
Able to communicate orally with all customers, both internal and external
Complete duties without direct supervision
Ability to work under pressure while organizing tasks to meet deadlines

Physical Requirements

The Office Coordinator primarily works in an office setting with prolonged periods of sitting, computer use, and phone communication. The role occasionally requires standing, walking, reaching, bending, and lifting or carrying light items such as files, office supplies, or small equipment. Adequate vision, hearing, manual dexterity, and communication skills are essential for performing clerical tasks, managing data systems, and interacting with staff and visitors.

Environmental Requirements

This position functions in an office environment located within a healthcare facility, with routine exposure to typical office equipment, moderate noise levels, and frequent interruptions. Interaction with kitchen and food-service areas may occur, involving exposure to temperature variations, cleaning agents, and food-service activity.
