Role Summary:

As an Order Management Specialist, you will play a key role in ensuring the seamless execution of the order management process from order entry to fulfilment. The role partners with internal stakeholders across multiple functions to coordinate order activities, maintain data accuracy, resolve operational issues, and support efficient business operations in alignment with company policies and service expectations.

Responsibilities:

Manage and process customer orders accurately and efficiently in the order management system. Review order details to ensure completeness, accuracy, and compliance with customer requirements, contract terms, and company policies. Coordinate with Sales, Operations, Logistics, factories, and suppliers to ensure timely order fulfilment and delivery. Monitor order progress and identify any potential risks, delays, or issues that could affect the customer’s requested delivery date, escalating and coordinating with internal stakeholders as needed. Handle invoice issuance, credit notes, debit notes, and related documentation in accordance with company procedures. Support timely revenue recognition by ensuring order and billing information is complete and accurate. Proactively identify, investigate, and resolve order-related issues, including discrepancies, delivery delays, modifications, returns, and cancellations. Maintain accurate records of orders, transactions, and customer communications. Collaborate with cross-functional teams to improve order management processes, workflows, and system efficiency. Ensure high levels of customer service by responding promptly and professionally to order enquiries and operational issues. Support additional order management and business operations tasks as required.

Requirement:

Education: Bachelor’s degree in Business Administration, Supply Chain, Operations Management, Engineering, or a related field.

Experience:

• Experience in order management, sales operations, customer service operations, billing coordination, or a related function.
• Experience working with ERP, order management, or sales processing systems is an advantage.
• Experience in HVAC, industrial equipment, manufacturing, or project-based business environments is preferred.
