About this role
Manage and grow relationships with add-on product vendors (cakes, chocolates, sweets, spa,
lifestyle brands, and similar partners) to ensure product availability, quality, timely
replenishment, alignment with The X calendar, and smooth operational integration.
The role focuses on transforming vendor interactions from ad-hoc communication into
structured, predictable, and scalable partnerships, while also identifying and onboarding new
brands through a structured pipeline.
Responsibilities:1. Vendor Relationship Management
- Own day-to-day communication with assigned vendors.
- Build long-term, trust-based partnerships with clear points of contact.
- Conduct regular check-ins (weekly / bi-weekly) with vendors.
- Maintain updated vendor profiles (contacts, SKUs, prices, lead times, MOQs).
2. Item Availability & Follow-Up
- Track availability of all add-on SKUs.
- Follow up on low-stock or at-risk items before shortages occur with warehouse team.
- Confirm lead times and replenishment schedules.
- Ensure discontinued or replaced items are communicated early.
4. Storage & Stock Model Coordination
- Work with Operations to define storage models per vendor:
- Vendor-held stock
- The X warehouse stock
- Consignment stock
- Ensure agreed stock quantities are respected.
- Track aging stock and slow movers.
5. Pricing & Commercial Terms
- Ensure updated price lists are always available.
- Flag margin risks to management.
6. Quality & Packaging Control
- Ensure items meet The X quality and brand standards.
- Coordinate packaging improvements when needed.
- Handle quality complaints with vendors and ensure closure.
7. Data & Reporting
- Maintain SKU lists and vendor master data in system.
- Prepare weekly reports covering:
- Stock status
- Risks
- New items
- Operational issues
- Prepare monthly vendor performance summaries.
8. New Brand Acquisition & Pipeline Management
- Identify and approach new brands aligned with The X positioning.
- Build and manage a structured pipeline for potential vendors and partners.
- Conduct partnership meetings, negotiations, and onboarding discussions.
- Track pipeline stages from lead → negotiation → onboarding → live.
- Coordinate with internal teams to ensure smooth brand launches and activation.
- Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.
- At least 1 year of experience in Account Management, Sales, or dealing with clients.
- Strong communication and interpersonal skills.
- Customer-oriented attitude with the ability to work independently and within a team.
- Basic understanding of sales principles and customer service practices.
- Excellent communication and interpersonal skills, with the ability to build rapport and influence decision-makers.
