This role is fully remote and would require about 20% of travel with about 10% of travel for quarterly team meetings in South Florida.

Summary: The Sales and Marketing Coordinator will support the sales team and improve operational efficiency. The goal of this role would be to take on many of the administrative, marketing, and client support responsibilities that currently pull our sales team away from revenue-generating activities.

 

Key Responsibilities:

Sales Operations:

  • Process sponsorships from contract through fulfillment.
  • Coordinate sponsor onboarding and maintain accurate internal documentation.
  • Manage the Exhibits inbox by routing inquiries to the appropriate sales representative or program lead.
  • Monitor sponsorship inventory and update availability as opportunities sell out.

Marketing Operations:

  • Learn and manage Marketo for sponsor communications.
  • Customize automated confirmation and follow-up emails.
  • Build and launch email campaigns using graphics and content templates provided by our team.
  • Schedule and monitor email sends.

Website and Meeting Management:

  • Learn and manage Squarespace updates.
  • Update meeting websites as sponsorships sell out.
  • Remove unavailable opportunities.
  • Ensure meeting information remains current and accurate.
  • Coordinate and distribute Basecamp follow-up tasks after each meeting.
  • Help ensure action items are assigned and tracked appropriately.

 

Education: Bachelor’s Degree preferred

 

Professional Skills and Requirements:

  • Excellent written and verbal communication skills
  • Familiarity with Microsoft Office applications (Excel, Word, PowerPoint, etc.)
  • Detail oriented with the ability to multitask.
