The Winter Operations Coordinator is an ATL-based position that serves as the central point of contact for TDY coordination and winter event preparation across the IDS network. While based in ATL with primary responsibility for supporting the ATL operation, the same TDY and event preparation services will be provided to all IDS stations through this role.

The position coordinates the administrative and logistical requirements necessary to prepare personnel and stations for winter events. By centralizing these responsibilities, the Winter Operations Coordinator provides stations and support departments with a single point of contact for TDY and event preparation needs while allowing operational leadership to remain focused on the operation.

Essential Duties and Responsibilities (Including but not limited to):

  • Serve as the primary point of contact for stations, TDY personnel, and support departments for TDY coordination and winter event preparation.

  • Coordinate TDY travel arrangements, hotel accommodations, and other travel related logistics.

  • Track and maintain TDY travel and related event costs to ensure accurate documentation for customer billing, reimbursement, and cost recovery.

  • Coordinate per diem administration, pay cards, and other TDY related requirements.

  • Coordinate airport badges, badge renewals, and required documentation for TDY personnel.

  • Gather and maintain TDY training records and required documentation for Total Quality Approval.

  • Track TDY personnel readiness and outstanding requirements prior to deployment.

  • Assist with TDY scheduling, personnel lists, and event staffing coordination.

  • Communicate event preparation requirements, deadlines, and outstanding items to stations and appropriate support departments.

  • Maintain accurate records related to TDY personnel, travel, training, badging, costs, and event preparation.

  • Work with station leadership to identify upcoming TDY and winter event support requirements.

  • Provide consistent TDY and event preparation support to all IDS stations.

  • Assist with administrative and logistical requirements before, during, and following winter events.

  • Identify opportunities to improve and standardize TDY and event preparation processes across the network.

  • Perform additional Winter Operations administrative and operational support duties as assigned.

Required Skills and Experience:

  • Experience in operations, administrative coordination, travel coordination, and winter operations event prep.

  • Strong organizational skills with the ability to manage multiple personnel, deadlines, and event requirements simultaneously.

  • Strong written and verbal communication skills.

  • Ability to coordinate effectively between station leadership, employees, customers, and support departments.

  • Strong attention to detail and ability to maintain accurate records.

  • Ability to track travel and event related expenses and maintain supporting documentation for billing and reimbursement.

  • Ability to work independently and prioritize changing operational requirements.

  • Proficiency with Microsoft Office and common scheduling, tracking, and communication tools.

  • Ability to work effectively in a fast-paced operational environment where priorities may change quickly.

  • Ability to identify outstanding requirements and follow them through completion.

  • Ability to support irregular operations and changing schedules during significant winter weather events as required.

Certifications/Licenses:

  • Valid driver’s license.

  • Valid passport for international travel.

  • Ability to obtain and maintain all security clearances required by TSA, Transport Canada, and/or local airport authorities.

Supervisory Responsibilities:

  • This position has no supervisory responsibilities.

Work Environment:

  • Indoor office environment with the potential of remaining seated for extended periods of time;

  • Continuous use of a computer, keyboard, and mouse.

Physical Demands:

  • Ability to stand for extended periods.

  • May require bending, kneeling, lifting, climbing, and reaching with hands and arms.

  • Ability to lift, push, and pull objects up to 25 pounds.

  • Full mobility required to move freely in high-risk operational environments.

Position Type/Expected Hours of Work:

  • This is a full-time, salaried exempt position with a minimum expectation of 40 hours per week.

  • Travel is required, sometimes on short notice, for varying lengths of time to support training and operational needs.

Security Clearance:

  • Ability to pass pre-employment background screenings.

Other Duties:

  • Assist ATL station leadership with daily administrative and operational support needs as assigned.
