Reports to: After School Program Director
Status: Part Time;
Schedule: Monday - Friday; 25 hours a week
Job Summary:
The Program Aide/ Admin Assistant is responsible for collecting data for the after-school programs. They will provide administrative support by assisting in the coordination
of all aspects of the after-school program and be responsible for the required documentation. The Program Aide/Administrative Assistant will be responsible for the management of both participant and staff files, including but not limited to: attendance, participant records, staff personal files, incident reports, and other documentation needed for the proper function of the program.
Job Functions:
• Manage all after-school program data entry within the DYCD Connect PTS and Youth Services database systems.
• Assist in gathering data and compiling statistical information for program reports.
• Provide support to the leaders in the completion of attendance procedures.
• Assist with operational needs of the program where needed.
• Attends program meetings when needed.
• Manages the office to ensure effective telephone and mail communication both internally and externally.
• Ensure maintenance of office areas and equipment.
• Purchase office supplies, furniture, and equipment, etc. as needed
• Contact parents to inform about absences and lateness and early pickups and absences
• Help to prepares written materials (e.g. invitations, memos, flyers, letters, etc.) for the purpose of promoting events and documenting activities
Qualifications
• At least two years college
• Some college credits in early childhood, youth development, or education preferred
• Experience working in NYC public school
• Experience with technology, data collection, managing systems
• Strong organizational skills
• Excellent interpersonal skills
• Strong time management skills
• Strong problem solving and analytical skills
• Proficiency in Microsoft Office application
• Bilingual: Spanish/English
