Position Information
We are seeking an Administrative Coordinator II, who under general supervision, will provide administrative support for the Department of Nutrition at Texas A&M University, exercising discretion and independent judgement with respect to matters of significance. The staff member will be responsible for administering departmental faculty affairs processes, liaise with relevant units across campus, and serves as the assistant to the Department Head.
Job Responsibilities
90% Departmental administration
- Serves as assistant to the Department Head/Associate Department Heads
- Coordinates and manages daily office support activities and administrative interactions.
- Coordinates and provides solutions to routine and complex, confidential, and highly sensitive administrative matters.
- Monitors office procedures and adherence to compliance.
- Serves as Liaison for departmental Faculty Affair processes. These may include -faculty recruiting and hiring, preparing offer letters, tenure and promotion, reappointments, evaluations, and document organization.
- Organizes, schedules, and takes minutes at monthly faculty meetings including on-site support for the Department.
- Coordinates travel arrangements and reimbursement for the department head and other faculty members.
- Coordinates the retention of office records and resources (digital and hard copies).
- Participates in the planning and execution of administrative operations.
- Makes recommendations for process improvements, administrative changes, or new initiatives.
- May assist in budget development and management.
- Researches, compiles, and applies information to make evaluative judgments.
- May review and sign documents for supervisor.
- May attend meetings or committees on behalf of supervisor.
- Analyzes program, project, or initiatives.
- Monitors project timelines and identifies issues.
- Adapts, combines, and makes improvements to services, processes, or programs.
5% Event coordination
- Assists with departmental events.
5% Other duties as assigned
Required Education and Experience:
- Bachelor's degree or equivalent combination of education and experience.
- Three years of administrative experience.
- Experience working in higher education, office administration, or program coordination. Previous experience managing other research or academic programs at Texas A&M University preferred.
Required Knowledge, Skills, and Abilities:
- Strong planning, organizational and time management skills.
- Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative.
- Ability to adapt rapidly to changing situations or last-minute challenges.
- Ability to multi-task and work cooperatively with others.
- Strong interpersonal skills, excellent verbal and written communication skills, and attention to detail.
- Strong knowledge of word processing, spreadsheet, database, presentation software.
Preferred Knowledge, Skills and Abilities:
- Experience with TAMU systems such as Emburse, Aggie Buy, Interfolio and Laserfiche.
- Ability to learn new systems or software independently.
- Ability to cultivate and maintain professional working relationships.
- Basic website/online portal experience.
- Project management and event coordination.
- Experience managing budgets and accounting matters.
