Position Summary
Our Client Services Representatives provide high-quality customer service that meets or exceeds client expectations while supporting our doctors and veterinary support team. This role is often the first and last point of contact for our clients and plays an important part in creating a welcoming, organized, and compassionate experience.
Essential Duties & Responsibilities
- Welcome clients and patients, manage check-in and check-out, schedule appointments and rechecks, and assist visitors and vendors.
- Answer and direct phone calls, respond to client questions, and communicate messages to the appropriate hospital team member.
- Process client payments, review invoices, and assist with routine end-of-day front desk and payment procedures.
- Assist clients compassionately with euthanasia and aftercare paperwork and communicate sensitive concerns to the appropriate team member.
- Complete daily administrative tasks including printing schedules, filing, emailing medical records, distributing mail, and maintaining organized client records.
- Maintain accurate client and patient information within the hospital's practice management and communication systems.
- Communicate effectively with doctors and veterinary support staff to help keep appointments and daily hospital workflow moving efficiently.
- Maintain a clean, organized, and professional reception and client-facing area.
- Protect client and patient confidentiality and follow hospital policies and procedures.
- Perform additional duties as assigned to support client service and daily hospital operations.
Qualifications
- High school diploma or equivalent.
- At least one year of experience in a customer service environment preferred.
- Comfortable using computers and able to learn new software and communication systems.
- Excellent verbal and written communication skills with a professional and compassionate approach.
- Strong organization and multitasking skills with the ability to prioritize in a busy environment.
- Ability to work effectively as part of a collaborative team and provide a positive client experience.
Schedule & Compensation
This is a part-time position with coverage needed on Fridays and Saturdays. Compensation is $17–$19 per hour, based on experience.
