About this role

The Service Coordinator will be responsible for the end-to-end management of client enquiries related to ship navigation and communication equipment. This includes coordinating with vendors, preparing client proposals, monitoring job execution, and ensuring proper documentation and billing. The role requires interaction with clients and internal teams, making it essential for the candidate to have a sound understanding of marine technical equipment and effective communication skills.

Key Responsibilities

1. Enquiry Handling

  • Understand the nature and technical scope of each enquiry.
  • Forward enquiries to relevant vendors and gather quotations.
  • Evaluate vendor quotes and apply suitable mark-up.
  • Prepare and send proposals to clients.

2. Client Interaction & Order Follow-Up

  • Follow up on submitted proposals with clients.
  • Communicate via phone, email, or MS Teams to address client queries.
  • Work towards converting proposals into confirmed service orders.

3. Job Execution Coordination

  • Upon confirmation, share agent/delivery information with vendors.
  • Track the execution of the service job.
  • Ensure timely receipt of service/job completion reports from vendors.

4. Billing & Documentation

  • Create re-billing files based on service reports.
  • Coordinate with the accounts department for invoice processing.

5. Internal Team Coordination

  • Monitor and manage incoming enquiries.
  • Analyze and distribute enquiries among team members.
  • Ensure timely response and smooth service execution.

Qualifications

  • Educational Qualification : Diploma in Electronics / Communication / Marine Engineering or equivalent.
  • Professional Experience : Minimum 2 years of experience in the shipping or marine services industry.
  • Industry Background : Preferably from NAVCOM (Navigation & Communication) services.

Requirements

  • Basic understanding of marine navigation and communication systems.
  • Familiarity with vendor coordination, proposal drafting, and job execution tracking.
  • Proficiency in MS Office, Outlook, and Microsoft Teams.
  • Ability to read technical documents and vendor quotations.
  • Understanding of billing workflows and documentation procedures.
