As Production Coordinator, you will be responsible for assisting the Production Department with managing the day-to-day workflow, ensuring that projects run smoothly and deadlines are met. Your role will encompass working with all internal departments and numerous screen printers, embroiderers, and various ancillary vendors to help improve workflow and streamline production systems for efficiency and consistency.
What you'll do:
- Manage the data entry of new garment SKUs, new client item SKU requests from the Account Management team, ensuring accuracy, consistency, and timely completion.
- Manage the data entry of Purchase Orders into Quickbooks or other current purchasing tool. Match incoming Vendor invoices to POs in system for payment approval.
- Support the Production team by maintaining accurate updates in internal systems (Asana) and providing internal teams with order updates, packing lists, and tracking information upon order fulfillment.
- Coordinate the vendor onboarding process. Organize required paperwork and system uploads. Maintain the vendor catalogue.
- Track and communicate PO adjustments, including design changes, across internal systems and tools. Ensure changes are communicated (via Asana) to other teams.
- Assist the Production team in reviewing samples, strike-offs and pre-production proofs to ensure accuracy in order quantity, ship date, artwork, sizing, garments, and client guidelines before full production begins.
Who you are:
- 1-3 years of experience in production coordination, merchandising, apparel, or related fields (music or entertainment industry experience a plus).
- Strong organizational skills with the ability to manage multiple projects in a fast-paced environment while maintaining attention to detail and a sharp eye for consistency.
- Excellent communication skills (both written and verbal) with a problem-solving mindset and the ability to adapt quickly to changing priorities.
- Proficiency in project management and collaboration platforms and tools (e.g. Asana, Monday).
- Proficiency in Microsoft Office, especially Excel.
- Proficiency in Quickbooks is preferred, but not required.
