We are seeking a detail-oriented, highly motivated Project Specialist to support the planning, coordination, and execution of company projects. The Project Specialist will work closely with Project Managers, stakeholders, and cross-functional teams to ensure that project tasks are completed on schedule, within scope, and aligned with company goals. This role is ideal for someone who has a strong foundation in project coordination and desires to grow their expertise in project management.

Key Responsibilities

Project Coordination

Assist in planning, scheduling, and execution of assigned projects under the guidance of the Project Manager.
Track and update project timelines, milestones, and deliverables.
Maintain project documentation, including meeting notes, reports, and action item logs.

Communication & Collaboration

Act as a liaison between team members, stakeholders, and departments to ensure clear communication and alignment of project goals.
Schedule and facilitate project meetings, distribute agendas, and follow up on action items.
Respond to stakeholder inquiries and escalate issues as needed.

Documentation & Tools Management

Create and manage project documentation, including status reports, tracking sheets, and presentations.
Utilize project management tools and software to monitor progress and performance.
Ensure record-keeping is accurate and up-to-date.

Risk & Issue Management

Identify potential risks, bottlenecks, or issues and escalate them to the Project Manager as necessary.
Proactively assist in risk mitigation planning and resolution of project challenges.

Resource Coordination

Track resources (human, financial, and material) and ensure they are allocated effectively.
Assist with procurement of project-related resources or materials.

Performance Monitoring

Support the tracking of project performance metrics, KPIs, and adherence to objectives.
Provide regular updates and recommendations for process improvements to the Project Manager.

QualificationsQualifications and Skills

Education & Experience

Bachelor’s degree in Business Administration, Project Management, or a related field (or equivalent work experience).
1-3 years of experience in project coordination or support roles, preferably in a corporate or team-driven environment.

Technical Skills

Proficiency in project management tools (e.g., MS Project, Asana, Jira, Trello, Monday.com, etc.).
Strong working knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook).
Basic understanding of project management methodologies (e.g., Agile, Waterfall).

Core Skills

Strong organizational skills with a keen attention to detail.
Excellent written and verbal communication skills.
Ability to prioritize and manage multiple tasks effectively under deadlines.
Problem-solving skills with a proactive approach to addressing challenges.
Ability to work both independently and collaboratively within a team.

Preferred Qualifications

Certification in project management (e.g., CAPM, PRINCE2 Foundation) is a plus.
