Job Purpose

The Senior Operation Executive is responsible for providing administrative, operational, and systems support across Stellar Ace Outdoor (SAO) and Stellar Ace (SA). The role supports maintenance operations, advertising asset management, business administration, and operational excellence initiatives involving bus shelters, taxi shelters, Trains’ assets, advertising inventories, and other company-managed assets.

 

The incumbent will serve as a key system user and administrator for various business and operational systems, ensuring data accuracy, process compliance, effective system utilization, and continuous process improvement. The role also involves coordinating with internal departments, external stakeholders, contractors, suppliers, and authorities to support smooth business operations.

Responsibilities

You will report to Senior Operation Manager. Your job responsibilities shall cover:

 

  1. Operations & Administration
    •    Manage day-to-day administrative and operational activities supporting Stellar Ace (SA) and Stellar Ace Outdoor (SAO).
    •    Prepare operational reports, meeting materials, and business updates.
    •    Maintain proper documentation and records of contracts, purchase orders, invoices, maintenance activities, and business transactions.

  2. Maintenance & Asset Coordination
    •    Coordinate preventive, corrective, and ad-hoc maintenance activities for advertising and operational assets.
    •    Monitor maintenance schedules, service requests, defect rectifications, and contractor performance.
    •    Track asset inventories and maintenance records across bus shelters, taxi shelters, Trains' advertising assets, and other associated infrastructure and inventories.

  3. Stakeholder & Vendor Management
    •    Coordinate meetings, site visits, project reviews, and follow-up actions with key stakeholders.
    •    Support contract administration and ensure vendors comply with service level requirements and contractual obligations.
    •    Foster effective working relationships with internal departments and external business partners.

  4. Systems Administration & Operations Excellence
    •    Act as the Key User for enterprise and operational systems, including SAP modules, Ariba, Broadsign, CMS platforms, maintenance management systems, and other business applications.
    •    Provide first-level support and guidance to users on system-related matters and workflows.
    •    Coordinate user access management, system testing, enhancement requests, and User Acceptance Testing (UAT).

Qualifications & Work Experience

  • Diploma in Business Administration, Operations Management or a related discipline preferred.
  • A minimum of 10 years of relevant working experience in operations, administration, maintenance coordination, asset management, or business support functions.
  • Proven experience in an Operations Executive, Administrative Executive, Systems Administrator, or similar operational support role. 
  • Experience in coordinating with vendors, contractors, clients, and government agencies will be an added advantage.
  • Strong proficiency in Microsoft Excel, Word, PowerPoint, and reporting tools.Strong analytical, problem-solving, and data management capabilities.
  • Excellent organisational, planning, and time-management skills. 
  • Good communication, interpersonal, and stakeholder management skills.
  • Self-motivated, proactive, and committed to operational excellence and continuous improvement.
  • Able to work independently while effectively collaborating across departments and external stakeholders.
  • Strong attention to detail with the ability to identify data discrepancies, process gaps, and improvement opportunities.
