Position Overview

The Administrative Assistant will be the first point of contact for program applicants. In addition to clerical duties they will be called upon to engage and assist with program participants/individuals we serve and to manage communication with applicants, program participants and stakeholders.   • Perform general clerical duties including but not limited to photocopying, faxing, mailing, filing and arranging for deliveries.• Exercise discretion in handling sensitive information as required by HIPAA and Agency guidelines.• Handle all internal and external communications using phone, email, and written.• Handle high volume phone systems with multiple lines and return calls/messages/emails promptly and consistently.• Coordinate with internal and external stakeholders including staff, program participants, visitors, and vendors• Arrange, schedule and coordinate office calendar.• Prepare and edit communications, presentations and other documents.• Database management including but not limited to data entry into Excel and Electronic Health Records (EHR) systems.• File and retrieve documents and reference materials.• Provide timely, accurate and clear documentation according to established policies and procedures.• Handle completing demands by responding effectively to challenges, deadlines, and emergencies.• Respond to the needs of program participants promptly, accurately and with courtesy and respect.• Represent the organization in a positive and appropriate manner to outside resources.
  • Support the mission and values of SUS and draw attention to behavior that undermines group effectiveness or is inconsistent with core values.• Additional duties as assigned.

Qualifications

  • High School Diploma or GED required.• A minimum of one year of experience in an administrative setting.• Some knowledge/experience working in the social service or related field is preferred.• Computer literate in Microsoft suite, skill sets in Word, Excel, and Outlook.• Ability to work in a fast-paced environment.• Have an understanding, appreciation, and commitment to the philosophy and mission of Services for the UnderServed (S:US).PREFERRED QUALIFICATIONS & SKILLS• College or continuing education preferred.• Bilingual English/Spanish speaking preferred.
